POSITION SUMMARY
The Payroll Specialist at KAI will oversee the entire payroll function, ensuring accurate and timely processing of employee salaries, benefits, and tax withholdings. This role requires an elevated level of accuracy, confidentiality, and expertise in payroll management. The Payroll Manager will work closely with HR, Finance, and other departments to ensure seamless payroll operations, compliance with legal requirements, and effective support for employees.
A. ESSENTIAL FUNCTIONS
Manage and process weekly, bi-weekly, or monthly payrolls for all employees, including salaried, hourly staff, and union payroll.
Ensure accurate calculation of wages, tax withholdings, and all payroll deductions.
Ensure payroll practices comply with federal, state, and local regulations.
Prepare and file all necessary payroll tax reports and payments timely and accurately, including quarterly and annual reports.
Generate and submit regular payroll reports to management and external agencies.
Maintain and update payroll systems and software, ensuring data integrity.
Collaborate with IT and HR departments to integrate payroll systems with other business functions.
Conduct regular audits of payroll data to ensure accuracy and compliance.
Reconcile payroll accounts and resolve any discrepancies.
Provide training and support to employees on payroll processes and systems; address payroll-related inquiries from employees
Manage and communicate payroll policies and procedures clearly and effectively.
Develop and implement payroll policies and procedures to standardize practices and ensure compliance.
Participate in all payroll internal and external audits including benefits and 401k.
- General accounting projects and support as required.
B. QUALIFICATIONS
Required Experience
a. Bachelor's degree in accounting, finance, business administration, or a related field.
b. Minimum of 5 years' experience in payroll management, preferably in an architectural, construction, or professional services environment.
c. Union payroll processing
d. Certified Payroll Professional (CPP) or equivalent certification is preferred.
e. Strong knowledge of payroll laws and regulations, including federal, state, and local tax requirements.
f. Strong knowledge of payroll software implementation
g. General accounting background preferred
h. General human resources knowledge a plus
Required Skills
a. Proficiency in payroll software such as Unanet, UKG, or similar platforms.
b. Advanced skills in Microsoft Excel and other data analysis tools.
c. Exceptional mindfulness and accuracy in processing payroll data.
d. Strong organizational skills and ability to manage multiple tasks simultaneously.
e. Strong analytical and critical thinking skills, with the ability to resolve payroll discrepancies effectively.
