Admissions Specialist
The Kai Shin Clinic and Treatment Program specializes in working with people with
co-occurring mental health and substance use disorders. It is common for symptoms of
depression, anxiety, PTSD, stress, and others to exacerbate substance use, highlighting
the importance of treating both. Our team of experts in addiction and mental health
work together with each client to address both mental health and substance use
symptoms to help individuals find a greater sense of wellness and quality of life.
Department: Clinical Operations
Reports to: Director of Operations
Status: Non-exempt, hourly
Schedule: Monday-Friday 8am to 4:30pm/8:30am-5pm
Time Allocation: Full-time
Role: Answering all incoming admissions calls, emails, inquiries, faxes to the 3 clinic service
lines in addition to the IOP, responding to leads and referrals with outbound calls quickly and
timely, being able to schedule and input all information into multiple EMRs, and understand and
be fluent in insurance verifications. Will assist with admin duties for IOP, monthly insurance
verifications for the clinic, medical records, and general reception duties (telephones,
scheduling, greeting patients, and cleaning the waiting rooms)
Responsibilities:
- All admission inquiries addressed in a timely fashion
- Answer the admission phone line, chat box, and emails quickly throughout the day,
and ideally phones immediately.
- Schedule and input all information into the EMR, updating multiple spreadsheets
- Check monthly insurance verifications
- Coordinate with team members in the different departments
- Medical records
- Greeting patients, collecting copays
- Verify insurance coverage and benefits through Healthia system Submit
preauthorizations for treatment services
- Monitor and send faxes, emails, and phone calls daily
- Review treatment program and screen patients interest
- Schedule patient orientation for admission
- Check in/out patient for IOP programs
- Complete all admissions paperwork from patient for provider to review
- Create and update records ensuring 100% accuracy and validity of information
- Answering phones, rescheduling, following all scheduling rules
- Assisting with new patient paperwork and information about all the service lines
- Excellent customer service
- Assist with other duties and responsibilities as assigned

Minimum Qualifications:
- Minimum of two - three years of reception/front desk experience, medical setting preferred.
- Ideal if 2-3 years of experience as an admissions specialist
- 2-3 years of insurance verification required
- Open to becoming a MNSURE navigator
- Ability to travel between clinic locations; valid driver’s license, auto insurance.
- Pass MN DHS background study.
- Proficiency with G Suite and Microsoft Office applications.
- Working knowledge of billing and charting applications desired.
- Must be able to lift and carry 25lbs.
