Job Overview:
We are seeking an Executive Assistant to provide comprehensive administrative support to our Brokers. You will be at the heart of our operations, helping to manage data, track projects, coordinate schedules, and ensure everything runs seamlessly. The ideal candidate will be organized, proactive, and able to juggle multiple tasks while maintaining a high level of accuracy. Experience in a legal or paralegal environment is a plus, as this role involves handling sensitive documents/information.
Key Responsibilities:
Manage Data & Documents: Organize, track, and maintain important files and documents in both physical and digital formats.
Project Management: Track ongoing projects from initiation to completion, ensuring that deadlines are met and progress is communicated effectively.
Scheduling & Coordination: Manage and coordinate complex travel arrangements, meetings, and calls for Brokers. Prioritize and maintain their calendar to ensure time is utilized effectively.
Expense Reports: Prepare and submit accurate expense reports on behalf of Brokers in a timely manner.
Administrative Support: Answer phones, handle inquiries, and provide general office support. Prepare presentations and documents as needed.
Qualifications:
Proven experience as an Executive Assistant, Administrative Assistant, or similar role, ideally supporting senior-level executives.
Experience in a legal environment (paralegal, legal assistant, or similar) is highly desirable.
Proficiency in Microsoft Office Suite - Outlook, Word, Excel, PowerPoint, and Teams.
Strong organizational skills and attention to detail.
Ability to prioritize and manage multiple tasks efficiently and independently.
Command of the English language, both verbal and written.
Knowledge of grammar is vital, business writing experience preferred.
Ability to maintain confidentiality and work with sensitive information.
Strong problem-solving skills and a proactive mindset.
Compensation:
Compensation will vary depending on level of education and years of experience. Health, 401(k), medical FSA, paid vacation, and personal time off are part of the overall compensation/benefit package.
Job Type: Full-time
Pay: $20.00 - $30.00 per hour
