Summary of Functions
Responsible for daily administration of various team member benefit plans such as life insurance, medical, dental, disability and 401(k) insurances by performing the following duties :
Essential Duties and Responsibilities
- Ensures compliance with the Kalispel Tribe of Indians- State of Washington Gaming Compact, Internal Controls, NIGC Regulations and internal documented process and procedures.
- Assembles health and welfare enrollment materials.
- Collects, processes, files and updates benefits-related enrollment forms and documents via paper and electronic means. Responsible for maintaining benefits records and dependent eligibility documents.
- Answers day-to-day questions about benefits plans and process to all Team Members, Tribal Government Employees and Tribal Members.
- Acts as an advocate on behalf of Team Members, Tribal Government Employees and Tribal Members in resolving health care claims issues.
- Remain informed regarding legislative changes to qualified benefit plans with the ability to translate those changes through day-to-day communication with Team Members, Tribal Government Employees and Tribal Members when necessary.
- Supports the Benefits Team and Human Resources in an analytical role by producing the KTEA business wide ACA Look Back report. Helps disseminate report results to various impacted departments as well as quantify the results financially to the business units throughout KTEA.
- Maintenance and oversight of ACA dashboard(s) and regular audits of ACA documents.
- Assists in the development and presentation of training material and process documentation using quantitative and creative reasoning.
- Responsible for assistance with open-enrollment function – including presentations.
- Oversees, tracks, and processes monthly insurance billing for all plans using a combination of paper and wire transfer methods.
- Perform regular audits, including 401k audits, to ensure proper payroll deductions, compliant benefits programs, and benefit data integrity. Responsible for the auditing function associated with benefits billing and recouping of team member cost share allocations.
- Responsible for new hire orientation – including the preparation and presentation of material related to health and welfare plans, 401(k) and Team Member / Tribal Government and Tribal Member discount programs.
- Communicates with external insurance broker(s) for updated annual compliance documents and the posting of such documents to the company / Tribal Intranet site and HRIS.
- Assist in managing vendor / TPA relationships to ensure contractual requirements are met and service offerings are utilized.
- Responsible for day-to-day instruction of employee self-service over the web for payroll and benefit functions.
- Responsible for COBRA administration including COBRA notifications, elections, and terminations as well as tracking COBRA premium payments and compliance.
- Assists with the 401(k) Loan process and works internal 401(k) discrepancy reports and helps newly eligible employees enroll when necessary.
- Assists with 401(k) legally mandated plan year end testing, 5500 filing, and company match calculation when and if approved.
- Maintain regular insurance carrier contact and communication to investigate discrepancies and provide information in non-routine situations involving claims, appeals and day to day administration.
- Responsible for organization of financial and wellness benefit fairs.
- Available and willing to work any changes in hours deemed necessary for Business Levels.
- Responsible for maintaining a consistent and acceptable attendance record.
- May be required to be a panelist for the Internal Review Hearings.
