Kaminska Dermatology in Chicago, IL is looking for one part time to full time assistant manager to join our team. We are located on 3808 N Lincoln Ave Suite 101 and 1 E Erie Suite 530. Our ideal candidate is a self-starter, punctual, and hard-working.
Responsibilities
Staff Management
- Monitor staff attendance and ensure that employees arrive on time for their scheduled shifts.
- Assign daily duties to the medical assistants, including pairing them with specific providers. - Designate staff for administrative tasks and review the schedule of estheticians to ensure they are prepared for their responsibilities.
Financial Oversight
- Verify that telehealth appointments are paid for on the day of service.
- Manage the checks and cash for review.
- Log the cash report weekly and securely store cash and checks in an envelope.
Communication and Coordination
- Check email regularly for urgent matters and delegate tasks to appropriate staff members. - Review cancellations and ensure that open slots are filled; confirm with the designated employee that this task is completed effectively.
- Process incoming mail, scanning insurance-related documents and uploading them to eBridge for the billing team.
Patient Interaction and Concerns
- Serve as an additional point of contact for virtual assistants, in-office staff, and providers, addressing any questions or concerns they may have.
- Handle billing and insurance inquiries from both patients and staff.
- Engage with patients to gather feedback or address concerns regarding their experiences, including discharging or dismissing patients as necessary.
- Respond to online reviews and private feedback, ensuring that patient concerns are acknowledged and addressed.
Claims and Refund Management
- Manage denial claims by contacting patients for updated insurance information or transitioning them to self-pay arrangements.
- Maintain the refund logs, tracking those owed refunds or in the process of issuing refunds. - Address chargebacks from credit cards disputed by patients.
Recruitment and Staff Management
- Review applications for various roles and conduct phone and in-person interviews as needed. - Issue warnings and write-ups when necessary, ensuring that staff is held accountable for their performance.
- Assist during staff meetings, contributing to discussions and planning.
Scheduling and Time Management
- - Publish and maintain the staff schedule, ensuring that all shifts are covered. - Keep track of staff time off and manage Paid Time Off (PTO) requests.
Office Maintenance and Security
- Ensure the office is clean, organized, and all items are in their designated places. - Confirm that all doors are locked and the alarm system is activated at the beginning and end of the workday.
- Investigate any unusual occurrences, such as strange smells, and address potential issues promptly.
