Job Summary
This position is responsible for performing a variety of administrative, bookkeeping, secretarial, and public contact duties assisting the County Engineer and other Highway Department staff. The employee must be able to develop procedures and complete work with limited supervision.
Some Examples of Essential Duties
60% Administrative/Licensing Duties
- Develops procedures to administer driver license functions in compliance with State and Federal requirements.
- Balances daily driver’s license receipts. Completes required forms and submits deposit.
- Assists public with driver’s license applications and renewals. Determines the validity of identification documents.
- Answers complex questions concerning driver’s license requirements, fees, and the reinstatement process.
- Conducts research and compiles data for administrative analysis
- Maintains web site for Highway Department and Driver’s License.
- Maintains, balances and submits records for fuel consumption of all department vehicles
- Requests fuel bids as necessary.
- Prepares and submits gravel pit agreements to pit owners
- Prepares, advertises, and compiles equipment rental bids
- Maintains records of calcium chloride distribution and determines eligibility of those requesting material.
- Screens driveway, culvert, and mailbox applications.
- Assembles proposals and advertisements for all highway construction bid projects. Insures bid items and proposals are accurate.
- Prepares and assembles data for state and federal grant submittals
- Assists County Engineer with special projects.
- Maintains employee seniority list.
- Assists employees in completing “First Report of Injury” forms
- Utility Permits: determine the width of the road right-of-way, process the required forms and collect the appropriate fee.
30% Receptionist/ Secretary Duties
- Answers the telephone, screens callers, answers questions, explains policies and arranges appointments.
- Greets walk-in visitors, answers questions, and directs visitors to appropriate individual.
- Assists public with forms, permits, receipts, and information.
- Types, mails and distributes letters, memos, reports, notices, bulletins, meeting agendas, minutes, etc.
- Composes correspondence as directed in accordance with standard procedures.
- Prepares worksheets, tables, charts, and spreadsheets.
10% Miscellaneous
- Orders office supplies
- Attends training as required.
- Obtains postage and delivers mail to post office requiring special service
- Makes various arithmetic computations
- Performs related work as required in a safe and efficient manner.
Qualifications
- High School graduate plus one year clerical schooling
- 2 years experience
- Valid driver''s license and access to transportation
