The purpose of the Operations Manager at Kane Communications Group is to provide high-level support to Kane’s leadership team to help the business operate smoothly. This position requires an individual who is extremely well organized, able to multi-task, manage deadlines under pressure, anticipate and plan ahead, and keep others on task. The Operations Manager supports Kane’s leadership team and the company’s growth strategies including external business development research, human resources, accounting, marketing initiatives, client services and general business support. The Operations Manager needs to possess a high level of professionalism and strong interpersonal skills because the individual will often be the first impression of Kane Communications Group. This individual in this role also needs to demonstrate a high level of discretion and the ability to maintain strict confidentiality on sensitive issues.
Responsibilities
Before applying, ensure this is the right seat for you on our team. At Kane, the Operations Manager is accountable for the following :
Support for the CEO and leadership team : You are responsible for managing the CEO’s calendar and scheduling meetings. This includes emails and phone calls, ensuring a clear understanding of the CEO’s availability and meeting preferences and the ability to get to each meeting prepared and on time. You will manage RSVPs for events and guest lists, ensuring timely outreach with invitations and responses. Additional scheduling support may be needed for other members of the leadership team, especially in coordinating outside meetings and calls with vendors.
Office and operations support :
- Milwaukee Office : You are responsible for ensuring the office environment at Kane is organized and employees are informed of updates and developments, as needed. You will keep track of and manage the ordering of, working within Kane’s budget for these items. You’ll help to coordinate office meetings including external meetings and events, researching options and developing budgets. You will also coordinate internal meetings when guests come to the Kane offices, including parking and any needed refreshments. You will field phone calls and messages from our general phone line, read and analyze incoming memos, invoices, submissions and reports and evaluate their significance and identify appropriate distribution.
- Milwaukee and Green Bay Offices : You will assist in the management of IT resources in both locations, providing an initial level of support and decision-making to escalate issues to the appropriate internal resource or external consultants. Under the direction of the Operations Director, you will take an active role in the setup and management of Contacts, Clients, Opportunities and Projects in Workamajig. You will assist the Operations Director and Managers in both HR and IT functions as they relate to recruitment and the employee lifecycle, ensuring core processes are being followed while continually looking to improve the employee experience.
Internal Communications
You are responsible for managing the regular communications for all Kane employees including the assembling and distribution of information promptly. You will develop a calendar of internal communications including all-staff meetings and internal newsletters and coordinate with the Operations Director and CEO to ensure content needs are clear and deadlines are met.
Finance support
Under the direction of the Controller, you are responsible for the entry of accounts payable, following up with staff on outstanding finance-related items, updating budget information, and coordinating meetings with staff.
Business development support
You will support Kane’s business development team with research support and outreach including lead identification and outreach to government small business, contracting and program officers; ongoing research for opportunities in designated databases; and additional business development research and support, as needed.
Marketing support
You will support the marketing team with a variety of tasks, as needed, including editorial calendar management to ensure content (social media and blog posts) is ready for publication (posts are written by the account team and approved / artwork is finalized); social media posting, posting content on Kane’s social platforms; scheduling podcast production needs - prep calls, video shoots.
Special projects
From time to time, you will be asked to work on special projects like support for Kane’s Corporate Citizenship and Sustainability program, employee-related projects, etc.
