KRCL is looking for a receptionist to join our Austin office. The candidate must be self-directed with the ability to perform multiple tasks and work in a fast-paced team orientated law firm environment. Must have a high sense of urgency, have good judgment, focus on repetitive tasks and deal with confidential information. In addition to answering incoming calls, place outgoing calls, greeting and dealing with clients, vendors and Firm guests, the Receptionist will perform other clerical duties, such as maintaining a calendar, scheduling conference rooms and tracking in the appointment scheduler, working with office services for conference room set ups of food and beverage items and A/V equipment and supplies. This position will manage and use office equipment and machines and supply ordering specific for their job function. The candidate must possess a team oriented work ethic and attitude and be able to meet project deadlines. To perform this job successfully, an individual must be a proactive, organized, dependable employee who is able to perform each essential duty satisfactorily. ESSENTIAL DUTIES, RESPONSIBILITIES AND REQUIREMENTS
- Ability to work under the supervision of the Director of Administration, attorneys, and staff to provide support.
- Providing miscellaneous project and administrative support and special projects in other areas of the Firm as needed.
- Welcome and greet clients, vendors and Firm guests by greeting them in person or on the telephone
- Answering or directing inquiries and be resourceful in transferring incoming calls to the appropriate person or department
- Scheduling of conference rooms and make reservations and validating parking vouchers.
- Update the conference room appointment book and confirm with employee requesting a reservation and coordinate set ups with office services and technology as needed (e.g. food and beverage items and/or A/V and other equipment for conference calls and video conference calls)
- Provide callers with information such as company address, directions to our office, company contact numbers, company website and other related information.
- Coordinates the delivery of express mail services such as FedEx, UPS, etc.
- Maintains client confidence by keeping the information working on confidential.
- Working knowledge and experience of the law firm industry including office and department procedures, work flows and organization.
- Consistent follow-through and ability and flexibility to multi-task and effectively balance priorities and meet tight deadlines.
- Deal with the property management company and office services on facilities matters
- Must maintain and keep lobby/reception area neat and clean at all times.
QUALIFICATIONS
- High School Diploma or Equivalent required for this role.
- A minimum of two (2) to three (3) years' of experience and exposure working in a law firm or corporate office environment as a receptionist required,.
- Must type at least 45 WPM and have exceptional computer skills and proficiency with data entry using Microsoft Office products, including Word, Excel, Outlook and Adobe Software.
- Must possess excellent English communication skills with the ability to speak and write clearly.
- Must maintain a professional image and adhere to the Firm's professional dress code policy
- Must be willing to work additional hours and weekends as required for the role.
- Exceptional and highly developed customer service, organizational, time management and detail oriented skills required for the role.
- Must be able to sit for long periods of time at a computer terminal and bend, stoop and lift up to 25 lbs.
- Must be able to maintain confidentiality.
