Duties and Responsibilities
- Provide high-level administrative support to Electric Operations staff, performing clerical duties such as creating documents, memos, and reports. Additionally, purchase and stock various office supplies for the department.
- Support procurement activities by preparing purchase requisitions, processing invoices, tracking procurement card receipts, and reconciling procurement card statements.
- Prepare and submit various administrative forms, including personnel action forms, document approval routing forms, expense reports, and travel authorizations.
- Maintain records and update departmental files, such as the bargaining unit seniority list, extra appointment list, duty rotation calendar, and employee contact list.
- Schedule and support meetings and other company functions by managing calendars, creating agendas, preparing meeting facilities, and transcribing meeting minutes.
- Manage the Electric Operations petty cash fund by disbursing funds, maintaining accurate transaction records, collecting receipts, and reconciling the account.
- Perform similar and related duties as assigned.
Qualifications
Education and Experience Requirements:
- A High School Diploma or equivalent
- Four (4) years of related administrative work experience is required
- Excellent organizational skills are required for managing schedules, maintaining records, and ensuring smooth operations.
- A thorough understanding of office procedures and administrative support functions.
- Proficiency in using computers including the Microsoft Office suite (Word, Excel, and Outlook) is required.
- Strong communications skills are necessary with the ability to communicate effectively in both written and verbal forms.
- Excellent interpersonal skills with the ability to build positive relationships within a diverse team are crucial.
- The ability to manage sensitive information with discretion and professionalism is essential.
