The position (K0208595)
The Kansas Department of Health and Environment has a Bureau Leadership Assistant opening in Topeka. The incumbent in this role will administer complex and diverse office system providing administrative, technical and clerical support for the Bureau Director and staff within the Bureau of Family Health.
Job Responsibilities may include but are not limited to the following:
Often acts as liaison for Bureau Director and performs a variety of important, sometimes urgent, confidential and complex tasks in accordance with the constantly changing priorities.Maintains awareness of critical and time sensitive issues in order to determine what information requires immediate attention.Maintains understanding of Bureau programs, policies, procedures and plans in order to delegate or refer issues.Coordinate the daily activities for the Bureau.Tracks and maintains Bureau Director's calendar and scheduling.Uses independent judgment skills to resolve scheduling conflicts and update meeting communications.Perform main reception duties for the Bureau.Interfaces with section directors and program managers daily, accepting requests and fulfilling duties.Responds to questions and requests from state agencies, providers and other stakeholders and refers as necessary.Handle all incoming and outgoing mail and special correspondence.Prepare correspondence for Director's review and signature.
Supervises the work of staff directly assigned to this position. Oversees the work of staff through verbal and written instructions to ensure that program performance standards are met. Adequately supervises staff by creating and reviewing position descriptions, complete performance evaluations, and feedback to staff. Provide general guidance, leadership, training and technical assistance to all other administrative support positions and activities within the various sections of the bureau.Coach and mentor bureau support staff using problem solving methods and tools to encourage personal and professional growth.

Qualifications
- Education:
- High School, GED
- Licensing & Certification:
- Valid Driver's License - Incumbent is required to have and maintain a valid driver's license when operating a state vehicle, a private vehicle, or a rental vehicle for the benefit of the State.
- Minimum Qualifications:
- Three years of experience in general office, clerical and administrative support work.
- Preferred Qualifications:
- Bachelor’s degree in business, health, communications, or related field.
- Ability to work with diverse workforce.
- Demonstrated organizational and time management skills.
- Experience in effectively interpreting general agency policies and applying to Bureau practice.
