Our Account Managers create long-term, trusting relationships with our clients. Their primary role is to proactively manage all services provided to our clients while looking for ways to improve quality and add value. In this role, the account manager interacts with the Client/Account Executives and all cross-functional internal teams to improve the entire customer experience. They do all this while representing our agency in a manner consistent with our Core Values.
The Account Manager's essential functions include:
- Monitor and manage voice mail, incoming mailboxes, outlook and activities in accordance with agency service standards
- Communicate effectively and professionally with clients, coworkers, insurance carriers and other service providers to build and maintain strong relationships to maximize retention
- Act as a liaison between the client and other internal Kapnick service departments, promptly responding as needed, to ensure positive customer experience
- Attend and participate in department meetings, team meetings and training sessions as required
- Attend and participate in internal/client meetings with the Client Executive and Account Executive and keep them informed of progress on client deliverables
- Provide a high level of service and serve as a resource to clients on all matters related to plan administration
- ·Suggest process improvements to increase efficiency and enhance customer service
- Accept responsibility for problems on assigned accounts and work with internal team members and external resources to resolve them
- Invoice clients for Kapnick services and promptly respond to inquiries from the client or internal team members related to invoices
- Maintain client account information in Kapnick's agency management system in accordance with established procedures
- Maintain confidentiality of client information in accordance with company policy and HIPAA privacy and security rules
- Assist with training and mentoring of newer Account Managers and Associate Account Managers upon request by the Team Leader
- Promote Kapnick in the insurance industry and the community
- Perform special projects or other duties as requested by the Team Leader, Client Executive or Account Executive
Client Deliverables – Renewal & Open Enrollment
- Work with Client Executive or Account Executive to develop an open enrollment strategy and timeline for assigned clients
- Document client renewal decisions, plans, and final rates in the agency management system with assistance from the Associate Account Manager
- Manage the open enrollment process for assigned clients and coordinate related work using internal and external resources with assistance from the Associate Account Manager
- Coordinate production, printing, and delivery open enrollment materials including benefit guides, compliance guides, collateral related to Kapnick services, insurance carrier documents, and other materials requested by the client with assistance from the Associate Account Manager
- Assist the Client Executive or Account Executive with conducting open enrollment meetings
- Coordinate production or printing of renewal presentations
- Perform or coordinate activities necessary to implement plan changes, transfer coverage or administrative services to a new carrier or vendor with direction from the Client Executive or Account Executive
- Confirm plan or carrier/vendor changes in writing
- Manage activities and tasks, assigned to your role, in Kapnick's agency management system
Client Deliverables - General
- ·Create employee communication/education materials and presentations upon request of the client, Client Executive or Account Executive
- Respond to basic compliance questions posed by clients, document responses to clients in writing, and copy the Client Executive or Account Executive on those responses
- Direct complex compliance questions to appropriate internal or external resources and keep the Client Executive or Account Executive informed
- Oversee IRS Form 5500 reporting activities for assigned clients with assistance from the Associate Account Manager
- Maintain an advanced level of product knowledge and be able to explain coverage terms to clients and employees
- Assist the Associate Account manager in resolving escalated claim, billing, or enrollment issues on behalf of clients and seek assistance from the Client Executive or Account Executive if unable to resolve
- Document client meetings with a conference report summarizing the discussion, decisions and action items
- Promptly notify the Client Executive or Account Executive of significant claims, administration or service problems and steps you are taking to resolve them
- Participate in capabilities presentations to prospective clients and be able to describe your role and how you add value to the client
- Obtain, review, deliver, and secure signed Kapnick agreements or contracts such as HIPAA Business Associate Agreements, Consulting Agreements, or Administrative Services Agreements (FSA, COBRA, etc.) with direction from the Client Executive or Account Executive
- Facilitate plan document creation or amendments using internal or external resources with direction from the Client Executive or Account Executive
Requirements
To be considered for the Account Manager position, you should have:
- Bachelor's Degree (four-year college or technical school), preferred
- 3-5 years of experience in Employee Group Benefits: Preferred
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint and Publisher)
- Life & Health License: Preferred
- Ability to understand and analyze life and health benefit coverages. Must be able to travel for client and staff meetings. Physical Demands and Work Environment
