Key Responsibilities:
- Manage listings from start to finish, including MLS entry, uploading photos, entering pre-written captions, completing paperwork, and updating the Business Tracker
- Going to listings and detailing the list features room by room, measuring rooms, to draft marketing materials for listings from existing templates: amenities sheets, neighborhood maps, etc.
- Draft initial offers and amendments (to be finalized by the lead agent)
- Create and distribute monthly newsletters
- Maintain the CRM and regularly input new contacts as we get touches.
- Handle lead and pipeline follow-up, including daily "touches" with sphere of influence and open house attendees
- Schedule, coordinate and show homes/showings for buyers
- Organize, print out listing presentations, market reports, seller reports, and marketing materials
- Maintain an organized and stocked office environment
- Provide administrative and strategic support to the principal agent by tracking tools, deadlines, and tasks
- Manage and maintain team and client calendars
- Design and post on social media; manage online ads
- Communicate professionally with clients, vendors, and internal team members
- Handle external inquiries and messages, ensuring both sides receive clear communication
- Perform general clerical duties as needed
- Check on listings weekly to troubleshoot issues and update clients on progress
- Manage all incoming and outgoing payments, bills, and commission tracking
- Manage and update templates for all buyer and listing documentation and checklists
- Assemble organized closing binders for buyers
- Measure rooms, document amenities, and create marketing material for listings
- Attend Compass Sales Meetings, Morning Huddles, and team calls; summarize key takeaways for lead agent
- Represent the team at Compass Real Estate TX LLC and KM Realty-sponsored events
- Maintain HAR membership and an active Texas Real Estate License
- Host open houses every other weekend on active listings.
- Document open house feedback, showings, and client interactions
- Occasionally run personal errands (e.g., returns, shipping, pickups)
- Notarize documents for clients during business hours (if commissioned)
- Maintain productivity even during downtime: clean files/systems, improve office processes, refresh marketing tools, etc. (“Top 20” task list)
- Performance reviewed periodically in accordance with established business standards
Experience
- Previous experience in a customer service role is preferred, demonstrating strong communication skills.
- Familiarity with real estate administrative tasks or property management is highly desirable.
- Multilingual candidates are encouraged to apply as it enhances communication with diverse clients.
- Knowledge of real estate law, market trends, and negotiation techniques will be considered an asset.
- Strong organizational skills with the ability to manage multiple tasks efficiently in a fast-paced environment.
- Proficient in administrative duties such as data entry, document preparation, and using office software.
- Participate in Compass Sales Meeting and Morning Huddles and team calls as Scheduled and report to principal agent with bullets/summary.
- Participate in events sponsored or hosted by Compass Real Estate TX LLC and KM Realty

Schedule:
- Monday to Friday, 8:30-5:30 with on call 5:30-6:30 PM (overtime pay)
- On call every other weekend ON for showings, open houses, offers, etc.
Location:
- Office Location: Heights area, Houston, TX
- Hybrid: In-office presence required with flexible work-from-home (within the Loop or Memorial) days, but on call for showings and work tasks during WFHhours.
