REPORTS TO: Doctor
EMPLOYEE STATUS: Non-Exempt Hourly
SALARY: Commensurate with education and experience.
HOURS: Monday- Friday 8:00 AM - 5:30 PM
ESSENTIAL JOB DUTIES/RESPONSIBILITIES:
As Office Manager (Administrative Assistant), your primary job duties &
responsibilities will be:
1. Managing practice operations. Overseeing & performing administrative duties
that include but are not limited to answering the phone, filing, copying, greeting,
and assisting patients, addressing any complaints, and resolving any problems
while managing and improving all administrative office operations.
2. Promoting staff development. Directly supervising business office and clinical
staff, helping select and train new employees, assisting in the appraisal of staff
performance, and conducting staff meetings.
3. Managing & maintaining financial records. Maintaining good record-keeping
for payroll, general ledger, cash disbursements, reimbursements, bank
reconciliations, and practice financial spreadsheets. Providing reports to doctor
on a timely basis.
4. Review the work environment to ensure safe and pleasant working
conditions. Ensure that equipment and training comply with all state and federal
requirements.
5. Meeting with the doctor regularly to implement yearly goals.
REQUIREMENTS:
- High school diploma, bachelor’s degree preferred
- Two years’ managerial experience as an executive/administrative assistant or office
manager
- Be able to: Manage projects, conduct research, and disseminate information using the
telephone, mail services, Web sites, and e-mail.
- Lead a staff team with diplomacy & skill.
- Create spreadsheets, compose correspondence, manage databases,
generate reports, and be proficient with Microsoft Office software.
- Negotiate with vendors, purchase supplies, and have experience with
QuickBooks software.
