Job Description
Operations Manager – Kaye Bender Rembaum P L
Experience – Minimum of 5 years as an Operations Manager or Legal Administrator at a law firm. Must have management experience - not looking for a paralegal!
This is an in-office role so must live within a reasonable commute to Pompano Beach, FL.
Salary range – $100k - $120k
QuickBooks knowledge to prepare financial reports – analytical, critical thinker
Interpersonal skills a must – hands on person, jack of all trades
Firm/Client Management:
Plan and schedule meetings and appointments
Review and finalize written correspondence to employees, vendors, clients and various legal entities
Telephone vendors, clients, and various legal entities regarding Firm issues and client satisfaction
Firm intermediary with other legal agencies and business organizations
Update and maintain Firm’s legal and business memberships and licenses and personal items as needed
Manage and increase the effectiveness and efficiency of Finance, IT and support staff.
Coordinate and communicate between Firm staff as it relates to business functions
Co-lead and facilitate long-term planning
Ensure effective transfer of paper files and records to and from legal counsel
Maintain in-house physical file storage and filing system
Conduct Firm related business and operations research
Oversee supplies and equipment inventory maintenance and replenishment
Maintain and examine leased equipment to ensure it is within our contracted parameters
Review memos, submissions, and reports in order to determine their significance and to plan for their distribution and implementation, if needed
Create, implement, and manage office policies and direct overall business operations
Responsible for day-to-day office operations
Coordination of and with all other Firm offices
Property Management:
Daily Management Responsibilities
Schedule vendor routine maintenance
Schedule, evaluate, and negotiate emergency repairs
Oversee all facility upkeep and maintenance of the property
Ensure that the property is safe and properly maintained
Routinely inspect the building to determine if repairs or maintenance are needed
Keeping accurate, up-to-date records of expenditures for the building and prepare monthly expense reports
Coordinate with building management
Financial Management:
Update and maintain accounting records, including those which calculate expenditures, receipts and accounts payable
Calculate, create, seek approval, and disburse employee and vendor expense checks
Record and maintain records of office purchases and handle inquiries about orders
Negotiate with vendors regarding price and service agreements
Propose budgets for projects and programs and make decisions about equipment purchases
Bank Administration
Coordinate Pension Plan termination and loans
People Management:
Lead various-sized internal projects in a Project Manager role
Manage Administrative Support Staff by allocating work assignments, issuing deadlines and ensuring issues are proceeding on schedule and exceeding established quality standards
Operate and troubleshoot paralegal software interactions
Directly supervise clerical staff, finance, receptionists and file clerks
