Executive Assistant will provide administrative support to the Integration Management Office (IMO) and its leaders (Integration Leader, Program Management Leader, and Commercial Integration Leader). The role involves managing calendars, coordinating meetings, organizing travel, and handling administrative tasks. The candidate must be proactive, organized, and able to handle multiple tasks while working effectively in a team environment.
Key Responsibilities:
- Calendar Management: Proactively manages complex calendars, schedules meetings, and resolves conflicts.
- Meeting Coordination: Books rooms, arranges catering, and ensures meetings are properly set up.
- Travel Coordination: Organizes travel arrangements and reconciles expense reports using SAP/Concur.
- Communication: Handles inquiries, responds to emails, and manages confidential information.
- Documentation & Reports: Organizes staff meetings, tracks action items, and prepares reports and newsletters.
- Vendor Management: Manages invoices and vendor communications using SAP.
- Support & Back-Up: Provides back-up administrative support for other executive assistants as needed.
Required Qualifications:
- Education: High School Diploma or GED (formal training or equivalent work experience), a college degree is a plus.
- Experience: Minimum of 3 years as an Administrative Assistant, with at least 1 years as an Executive Assistant in a fast-paced, multi-functional environment.
- Skills: Proficiency in Microsoft Teams, Outlook, MS Office, Concur, and SAP.
- Personal Attributes: Strong communication skills, highly organized, detail-oriented, and a self-starter with the ability to manage multiple tasks independently.
