Position Summary:
The Project Compliance Coordinator plays a critical role in supporting project teams by overseeing the onboarding of all subcontractors. This includes managing the badging process for all onsite workers, verifying administrative compliance for each worker on assigned job sites, and providing essential office support through the onboarding process.
Key Responsibilities and Essential Functions:
Include the following. Other duties may be assigned.
Compliance Responsibilities:
- Support subcontractors with onboarding to ensure they meet compliance requirements.
- Monitor COI tracking software to ensure subcontractor compliance with company standards.
- Coordinate with the Risk Administrator on compliance-related issues and updates.
- Confirm that all subcontractors have valid insurance before arriving on site.
- Update subcontractors regarding any changes needed according to company guidelines.
- Additional responsibilities as assigned.
Badging Responsibilities:
- Collect and verify all required documentation in accordance with corporate jobsite
badging program. This includes I-9s, W-4s and an affidavit from each worker on the
jobsite. Assist subcontractors with understanding the program requirements,
communicate submission errors and how to correct them, assist KBE field associates
and subcontractors with status inquiries, monitor badging email box, audit submitted
paperwork.
- Coordinate with subcontractor employers and jobsite team to maintain confidentiality of
worker identity information.
- Issue badges for compliant workers and informs Project Superintendent of any workers
who are not in compliance for removal from jobsite.
- Compare daily sign-ins against daily reports collected from each sub or
sub-sub working on the site.
- Prepares Safety orientations stickers.
- Performs Audits on all sites to ensure compliance with KBE’s Badging standards.
Assists the other Project Coordinators with the following:
- Assists with editing and processing subcontract agreements and purchase orders.
- Edits documents for formatting, spelling, and grammar.
- Assists with transmitting subcontracts & PO’s for electronic signature, and follow up on
expired or revised subcontracts.
- Assists with maintaining subcontractor and supplier list in Viewpoint system.
- Assists with verifying all new subcontractors are properly registered and in good
standing with the appropriate Secretary of State (or equivalent) and prequalified with KBE.
- Assists with collecting W-9 forms and enters information into Viewpoint.
- Assists with adding Vendors into BIM and/or ProjectSight
- Assists in preparing and distributing weekly subcontractor and owner meeting minutes for required projects
- File all documents electronically according to KBE policy.
Education, Experience, and Qualifications:
To perform this job successfully, an individual must be able to perform each essential duty

- 3 years of Administrative Assistant experience in a construction related field.
- Proficient understanding of construction drawings and specifications.
- Proficient in MS Office Suite (Word, Excel, Power Point)
- Excellent written/ verbal skills necessary.
- Strong organizational skills a must
- Must be flexible and manage multiple priorities.
- Sensitivity to confidential matters is a must.
