General Description
The Recruiting Coordinator supports the resource management department by assisting with attracting and onboarding candidates for open positions, including but not limited to : Managing postings, advertisements, and associated budgets, ownership of the entire onboarding process, and management of timesheet processes. This includes being responsible for and acting as the subject matter expert on these processes, identifying and implementing process improvements, and ensuring the satisfaction of hiring managers, candidates and new hires by providing responsive, high quality, professional service and support in the recruiting function.
Essential Functions
- Support Talent Acquisition : Assist the recruiting team in finding, hiring, retaining, and offboarding talent for diverse roles.
- Onboarding Process Management : Manage entire onboarding process, ensuring new hires complete pre-employment requirements, including creating offer letters and preparing associated paperwork, scheduling and completing drug screens and background checks, and conducting required training, identifying and implementing process improvements to enhance candidate experience and operational efficiency.
- Candidate Relationship Management : Maintain clear and proactive communication with candidates, acting as a subject matter expert on all onboarding related issues, answering questions and using discretion / judgement to resolve challenges.
- Roster Maintenance : Maintain an up-to-date roster of contractors and contingent staff, including company confidential staffing data like customer name, project ID, bill rate, pay rate, and weekly hours, revenue, gross profit, etc.
- Timesheet Processing Process Management : Submit contractor and contingent staff hours to clients weekly and work jointly with account management, recruiters, and clients as needed to resolve discrepancies to secure timely approvals to enable invoicing identifying and implementing process improvements to enhance candidate experience and operational efficiency.
- System Utilization : Leverage NetSuite, Ceipal ATS, and Microsoft Office, including Teams, for candidate recruiting, employee onboarding, contractor management, and employment process activities.
- Policy Knowledge : Acquire and maintain a high level of knowledge of recruitment, employment, compensation, benefits, pay administration, and other organizational policies, practices, and regulations.
- Metrics Reporting : Collect, analyze, and report accurate daily, weekly and monthly recruitment metrics, leveraging insights and making recommendations to support strategic decision making.
- Manage Employee Referral Program : Take full ownership of the employee referral program by developing strategies, promoting participation, and managing all aspects to effectively drive internal talent recommendations and contribute to the organization's recruitment goals.
- Job Descriptions and Posting Management : Responsible for posting jobs across talent marketplaces, job boards, and professional networks to optimize candidate applications while managing the budget and making recommendations for resource allocation and cost saving opportunities. Leverage social media and digital advertising to maximize visibility and attract qualified candidates. Create concise and engaging job descriptions to attract top talent.
- Administrative and Team Support : Manage and prioritize a broad range of administrative tasks with autonomy and sound judgment. Provide assistance to the Sr. Manager of Recruiting and recruitment team members as needed and directed.
- Vendor Management : Manage and oversee partnerships with vendors, including job boards, industry certification providers, and background screening companies. Assess organizational needs, negotiate contracts and ensure vendor services align with business objectives and budget requirements.
- Decision Making : Lead initiatives, such as improving ATS, identifying process efficiencies, and enhancing candidate experiences.
