Job Summary
- Owensboro Community and Technical College (OCTC) in our Workforce Solutions division is seeking a customer-focused and detail-oriented Administrative Assistant to join our team. It serves as the primary point of contact to internal and external clients, managing front desk operations, and ensuring efficient day-to-day office functions. The ideal candidate will be organized, proactive, and committed to supporting workforce education and training initiatives.
Job Duties:
- Serve as the first point of contact for visitors, clients, and staff.
- Provide support to the Workforce Solutions team to facilitate office operations.
- Assist customers with information and registration for workforce assessments.
- Manage non-credit courses in the learning management system, including registrations, course materials, rosters, and evaluations.
- Process computer-based training (CBT) registrations for specialized programs.
- Prepare receivables, handle third-party billing for non-credit courses, process and post payments accurately, and maintain meticulous records to ensure compliance with regulations.
- Perform other duties as assigned.
Minimum Qualifications:
- High school diploma along with two (2) years of relevant work experience is required.
Preferred Qualifications:
- An associate degree in Business Administration or related field and four (4) years of relevant work experience is preferred.
Additional Skills Requested:
- Ability to utilize effective communication skills when working with internal and external customers.
- Must possess excellent oral and written communication skills and positive interpersonal skills.
- Ability to function well as a team member.
- Skilled in the use of computerized systems and databases such as Microsoft Office, learning management system (CampusCE), billing systems (Peoplesoft), and other essential systems.
