Job Summary
The Shipping & Receiving Clerk ensures the efficient and accurate flow of products into and out of the facility. This position is responsible for inventory control, shipment coordination, and maintaining compliance with safety and quality standards. The role requires strong organizational skills, attention to detail, and collaboration with multiple departments to optimize operations and meet customer expectations.
Key Responsibilities
Shipping & Receiving Operations
· Oversee inbound and outbound shipments, ensuring accuracy in documentation and timely processing.
· Maintain inventory control procedures and reconcile records with warehouse management systems.
· Verify shipping priorities, work assignments, and transportation requirements to meet delivery schedules.
· Arrange cost-effective transportation solutions that optimize service quality.
· Ensure all required shipping documents (work orders, bills of lading, shipping labels) are completed accurately.
· Review invoices for accuracy before weekly submission.
· Work in tandem with Warehouse & Quality Control to resolve order discrepancies and prevent delays.
· Coordinate storage of incoming materials to optimize warehouse space and efficiency.
Communication & Collaboration
· Act as a liaison between warehouse staff, quality control, and transportation providers to facilitate seamless operations.
· Communicate any issues with shipments, orders, or system discrepancies to the appropriate departments.
· Support leadership in identifying process improvements and increasing efficiency.
· Provide accurate and timely reports regarding shipping and receiving metrics.
Compliance & Safety
· Ensure compliance with OSHA safety regulations and company policies.
· Maintain Good Manufacturing Practices (GMP) in storage, handling, and shipping operations.
· Monitor facility operations for adherence to company safety standards and promptly report any concerns.
· Support audits and inspections by maintaining accurate records and implementing corrective actions when necessary.
Inventory & Documentation Management
· Accurately track incoming and outgoing shipments, ensuring all products meet customer and company specifications.
· Maintain electronic and physical records of shipments, deliveries, and inventory reconciliations.
· Regularly review system data for errors and implement corrective actions as needed.

Knowledge, Skills, & Abilities
· Strong understanding of shipping, receiving, and inventory control in a high-volume cold storage facility.
· Knowledge of logistics, transportation coordination, and warehouse management systems.
· Familiarity with OSHA safety regulations and GMP compliance requirements.
· Excellent organizational skills with the ability to multitask and prioritize tasks.
· Strong problem-solving and analytical skills to troubleshoot issues quickly.
· Proficiency in Microsoft Office (Excel, Word) and warehouse management software.
· Effective communication skills to collaborate with internal teams and external vendors.
· Bi-lingual English/Spanish preferred.
Experience & Education
· A high school diploma or GED is required, and an associate degree in logistics or supply chain management is a plus.
· Minimum of three years of experience in a shipping & receiving role within a cold storage or distribution facility.
· Previous leadership experience in warehouse operations is preferred.
Internal & External Contacts
· Collaborate with internal teams, including Warehouse, Quality Control, and Transportation.
· Professionally interact with external vendors, inspectors, and transportation providers.
Working Conditions / Physical Requirements
Working in an office or cold warehouse environment, the worker must stand, walk, sit, bend, reach, kneel, and crouch. Manual dexterity of hands and fingers to handle or feel objects, tools, and controls. Lifting and moving objects weighing up to 15 lbs. Ability to operate computers and other warehouse equipment.
Effective communication to exchange information with individuals and groups.
