Position Summary
The Case Manager is responsible for coordinating and managing the care of clients while ensuring efficient office processes and high-quality service delivery. This includes client intake, scheduling, maintaining documentation, verifying insurance authorizations, monitoring service utilization, and conducting follow-ups to ensure optimal outcomes. The Case Manager serves as the primary liaison between families, therapists, and clinical supervisors, fostering a seamless experience for all stakeholders.
Essential Responsibilities
• Client Coordination & Documentation
• Obtain and maintain updated documentation from BCBAs, ensuring compliance and accuracy.
• Set up new clients in the EMR system and ensure all documentation is current.
• Monitor and track reassessments to align services with client progress and goals.
• Maintain accurate client records in compliance with industry regulations and company policies.
• Insurance & Billing Management:
• Verify and ensure active insurance coverage for all clients.
• Monitor authorizations, track expirations, and submit renewal requests as needed.
• Oversee weekly billing trends to ensure accuracy and prevent discrepancies.
• Scheduling & Service Utilization:
• Manage client schedules and ensure Behavior Technicians adhere to authorized service hours.
• Oversee cancellations, rescheduling, and continuity of care.
• Ensure that RBTs are logging data correctly and submitting timesheets promptly.
• Track service utilization and alert the office manager to any issues.
• Family & Provider Support:
• Act as the primary contact for families, addressing inquiries and concerns with professionalism and empathy.
• Conduct monthly check-ins with families to provide updates, gather feedback, and foster engagement.
• Coordinate care with other professionals and service providers to ensure a collaborative approach.
Qualifications & Skills
• Administrative Expertise: Strong proficiency in Microsoft Excel, Outlook, and other office tools.
• Experience Supporting MI Medicaid Clients
• Experience Supporting MI Medicaid Clients
• Organizational Skills: Ability to manage multiple cases, schedules, and deadlines effectively.
• ABA Knowledge: Familiarity with Applied Behavior Analysis (ABA) principles and behavioral health practices.
• Communication & Interpersonal Skills: Excellent verbal and written communication skills for collaborating with families, therapists, and clinical supervisors.
• Problem-Solving Ability: Proactive approach to resolving challenges and ensuring service quality.
• Empathy & Compassion: Passion for working with children with special needs and their families.
