Virtual Executive Assistant for Homebuilding President

Remote | Flexible Hours | Long-Term Opportunity

Job Overview

We are looking for a highly organized and proactive Virtual Executive Assistant to support the CEO of a fast-growing custom homebuilding company. This role requires exceptional communication skills, attention to detail, and the ability to manage calendars, inboxes, travel, and administrative tasks in a fast-paced environment.

Key Responsibilities

  • Calendar & Schedule Management

Manage and optimize the CEO's daily, weekly, and long-term schedule.

Schedule meetings, ensuring efficiency and minimizing wasted time.

Block out buffer time and schedule travel, site visits, and personal commitments.

Regularly audit the CEO's calendar to confirm all appointments and follow-ups.

  • Inbox & Communication Management

Monitor and prioritize the CEO's email inbox, responding when appropriate.

Draft and send professional emails on behalf of the CEO.

Use pre-approved response templates for investment opportunities, event invitations, and collaborations.

Keep the inbox organized and clutter-free using labels and categories.

  • Meeting Coordination & Admin Support

Schedule and manage Zoom/Google Meet calls with clients, vendors, and partners.

Prepare meeting agendas and send reminders in advance.

Take notes and track action items for follow-up.

  • Travel & Event Planning

Book flights, hotels, and ground transportation for business trips.

Maintain a detailed travel itinerary and update the CEO's calendar accordingly.

Research and coordinate attendance at conferences, networking events, and speaking engagements.

  • Project & Task Management

Track key projects, follow up on deadlines, and report on progress.

Maintain a running list of action items and ensure nothing falls through the cracks.

Organize and manage cloud storage files (Google Drive, Dropbox).

  • Personal & Household Coordination

Schedule personal appointments (doctor visits, family commitments, etc.).

Assist with purchasing gifts, personal shopping, and returns.

  • Confidentiality & Security

Manage sensitive information with discretion and professionalism.

Use 1Password or other secure tools to store and manage credentials.

Who You Are

You have 5 years of experience as a Virtual Executive Assistant, VA, or similar role.

You have excellent written and verbal communication skills.

You are a calendar and email management expert.

You are tech-savvyproficient with Google Workspace, Slack, Zoom, and scheduling tools.

You are proactive and solution-orientedable to anticipate needs before they arise.

You have strong attention to detail and can manage multiple priorities.

You are reliable and professional, handling confidential information with discretion.

Bonus Skills (Nice to Have! )

Familiarity with homebuilding, real estate, or construction industries.

Experience Using Buildertrend And Other Homebuilder Software Tools.

Experience managing social media, content calendars, or marketing projects.

Job Details & Compensation

Location: 100% Remote

Hours: Part-time or Full-time (flexible, but must be available during EST business hours)

Pay: Competitive hourly rate based on experience

Duration: Ongoing, long-term opportunity
