Position Summary
As a Project Support professional at Keiki O Ka `Āina FLC, you will play a critical role in supporting our Operations Director and contributing to the success of our educational initiatives and community programs. This position is essential to advancing our mission of empowering families and enriching communities through effective project management and collaboration.
Primary Purpose
- Provide comprehensive support to the Chief Operating Officer (COO) in various capacities, including administrative, project management, scheduling, meeting coordination, media and community engagement, and program and grant support.
- Maintain open communication with internal and external stakeholders, ensuring seamless operations.
- Implement culture-based education practices and foster family engagement through knowledge of Hawaiian culture and dual-language opportunities.
Essential Duties and Responsibilities
Project Support:
- Communicate effectively the benefits and projected outcomes of project initiatives to stakeholders.
- Organize and maintain project SharePoint folders and master calendar for COO.
- Keep project databases up to date and ensure accurate reporting and management timelines.
- Collaborate with staff, management, and other KOKA departments to meet deadlines and ensure timely submission of reports.
- Attend meetings and staff development trainings as required.
- Perform additional tasks as assigned.
Administrative Support:
- Correspondence:
- Review, prioritize, and respond to correspondence and invitations.
- Make and receive phone calls, and maintain a contact database.
- Meeting Support:
- Attend internal/external meetings, take minutes, and provide administrative support.
- Manage travel arrangements, provide maps, and ensure travel time is properly accounted for.
- Circulate meeting materials in advance and ensure appropriate arrangements for refreshments and hospitality.
- Assist in booking rooms and venues for meetings with COO.
- Support communication with CEO, Accounting, Human Resources, Grant Manager, and ECE Directors.
- Expenses and Credit Cards:
- Assist with project purchases, reconciliations, and inventory tracking.
- Process COO’s expenses and manage assigned credit card accounts.
- Ensure timely processing of project requisitions.
- Office Support:
- Develop and maintain filing and information systems for COO.
- Update Outlook calendar and arrange regular meetings with management and staff.
- Communicate with staff to coordinate shifts and support for events and activities.
Skills and Qualifications:
- Demonstrated leadership and team collaboration abilities.
- Knowledge of and sensitivity to the needs of families from low socio-economic backgrounds, particularly those from Hawaiian communities.
- Strong administrative and organizational skills.
- Proficiency with computers, including Excel and Word.
Experience and Education:
- Minimum of three years of experience in a related field.
- Prior experience in education administration, community mobilization, program/project start-up, human resources, office management, or staff development is required.
