Job Summary:
The Accounts Payable Specialist will oversee accounts payable functions, assist with human resource administration tasks, and manage general office administration. This role requires strong organizational skills, keen attention to detail, and the ability to work collaboratively within a team.
Key Responsibilities:
- Process invoices accurately and efficiently, ensuring proper documentation and approval.
- Verify and reconcile vendor statements and resolve discrepancies in a timely manner.
- Assist in preparing and processing payments, including checks and ACH transfers.
- Communicate effectively and professionally with vendors and internal departments to address and resolve invoice-related issues.
- Ensure compliance with company policies and accounting principles.
- Collaborate with other departments to improve accounts payable processes and workflows.
- Serve as the main contact with our Professional Employer Organization (PEO) and perform basic HR functions, such as onboarding new hires, maintaining employee records, and handling employee inquiries related to HR policies.
- Calculate hourly employees' hours, track PTO, and work with the PEO company to process payroll accurately.
- Oversee office functions such as ordering supplies, coordinating office maintenance, and managing administrative needs.
Required Skills & Qualifications:
- Strong attention to detail and accuracy in data entry.
- Excellent organizational skills and the ability to prioritize tasks effectively.
- Strong communication skills, both written and verbal, for effective collaboration.
- Ability to manage time efficiently and meet deadlines.
- Problem-solving skills to identify and resolve invoice and payment discrepancies.
- Ability to work independently as well as part of a team.
Education & Experience:
- Associate’s degree in Business Administration, Accounting, or a related field is a plus.
- Minimum of 2 years of experience in accounts payable or a similar accounting role.
- Proficiency in Microsoft Office and experience with accounting software.

- This is a full-time position with standard office hours.
