POSITION SUMMARY: The Office Coordinator supports the smooth and efficient functioning of camp operations and programming by collaborating with Lake Valley Camp staff, communicating with campers and caregivers, and serving as a liaison between Lake Valley Camp and the PEAK program center in Milwaukee.
POSITION AVAILABILITY: The summer season for the Office Coordinator starts June 3 and ends August 8, 2025. A typical work week is 4 or 5 days, Monday through Friday, 7:45am to 4:30pm. This position does not live on site.
BASIC FUNCTION AND RESPONSIBILITY
- Serve as a representative of Lake Valley Camp by answering incoming calls, taking messages, responding to and distributing emails, and ensuring ongoing communication between PEAK and Lake Valley Camp.
- Support camp leadership with schedule creation, camper attendance and roster maintenance, and caregiver outreach.
- Assist with maintaining documentation of the Summer Food Service Program.
- Drive on behalf of camp as assigned: post office, grocery runs, medical needs, staff or camper transportation, etc
- Collaborate with camp leadership and PEAK finance staff to maintain accurate financial records by collecting and coding receipts.
- Maintain inventory of office supplies and place orders as needed, adhering to the summer operations budget.
- Manage distribution of camp resources including: petty cash, technology, and vehicle keys.
- Manage incoming and outgoing mail.
- Participate fully in the camp experience - getting to know campers, staff, and joining for all-camp activities when your schedule allows!
COMPENSATION AND BENEFITS
- The base rate for this position is $18.00 per hour, pre-tax.
- Summer seasonal staff are paid on a bi-weekly basis and are classified as exempt, seasonal employees.
- All meals are provided during the employee’s scheduled hours when camp is in session
KNOWLEDGE, SKILLS, & ABILITIES
- Ability to receive constructive feedback and coaching from supervisor and make necessary adjustments
- Ability to work collaboratively with co-workers to achieve program objectives.
- Commitment to being punctual and adhering to a schedule provided by camp leadership.
- Possess strong communications skills and apply them with coworkers and supervisors, maintaining confidentiality of sensitive staff and camper information when necessary.
- Ability to perform job duties in a fast-paced environment and able to embrace change and be flexible.
- Ability to quickly learn camp policies, systems and technology.
REQUIREMENTS & CERTIFICATIONS
- Must be able to pass PEAK’s motor vehicle background check and driver training and safely drive/transport adults and children in PEAK vehicles, including a 12-passenger van.
- Must be at least 18 and/or have a high school diploma or GED to apply
REPORTING AND RELATIONSHIPS
- The Office Coordinator reports to the Assistant Director of Camp Operations, with additional guidance and assignments from the Camp Director and Assistant Director of Camp Programs.
- The Office Coordinator works closely with the PEAK Operations team in Milwaukee.
PHYSICAL & MENTAL DEMANDS & WORKING CONDITIONS
The mental and physical requirements and work environment conditions described here are representative of those that must be met by an individual to successfully perform the essential functions of this position.
- Staff must be ready for new experiences and maintain a consistent level of energy all summer long.
- Position requires standing, stooping, sitting, and occasionally lifting up to 40 pounds with or without assistance.
- Camp activities are often loud, involving many people talking, yelling, cheering, etc., in indoor and outdoor settings.
- The camp environment is often hot, rainy, with bugs or other wildlife. Staff must be able to work outside in a nature setting and inside in an office setting for sustained periods of time without air conditioning.
- All PEAK Initiative properties, including Lake Valley Camp and the Milwaukee Program Center, are substance-free environments. Smoking, vaping, alcohol consumption, and the use of illicit drugs are strictly prohibited on all property regardless of whether or not staff are on break.
- Staff must be able to eat in a dining hall setting with 100 people. The dining hall will be very busy and very noisy during these times and staff are expected to supervise and sit with their cabins throughout the meals.
- Staff must be able to eat family style meals in a dining hall during scheduled shifts. Sample menus available upon request. With pre-summer notice, the kitchen can accommodate most medical or value-based dietary restrictions.
- Staff may be required to drive 6 hours in one day, transporting campers or other staff members.
