JOB DESCRIPTION
The Senior Coordinator, Special Events is responsible for supporting the planning, coordination, and execution of events across all Kelsey-Seybold sales channels. This position will play a key role in ensuring seamless event logistics, providing administrative support, and executing smaller-scale events that support brand awareness and sales goals. The role works closely with their manager, the SVP of Sales, and cross-functional teams to deliver exceptional event experiences that enhance Kelsey-Seybold’s presence in the community and among key stakeholders.

Salary Range: $71,604 - $88,452 (Pay is based on several factors including but not limited to education, work experience, certifications, etc.)
Qualifications
Education
Required: Associate’s or Bachelor’s degree in Marketing, Communications, Business, Hospitality, or a related
field or equivalent work experience.
Preferred: N/A
Experience
Required: 3 years of experience in event planning, event coordination, or administrative support roles.
Preferred: Experience working in healthcare, insurance, or a corporate event environment is a plus but not
required.
License(s)
Required: Valid Texas Driver’s License
Preferred: N/A
Special Skills
Required: Strong organizational and multitasking skills with attention to detail.
Preferred: Bilingual (Spanish or other languages) is a plus.
Other
Required: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Excellent communication and interpersonal skills.
Ability to work flexible hours, including occasional evenings and weekends for events.
Ability to manage multiple priorities and deadlines in a fast-paced environment
Preferred: Familiarity with CRM and event management software.

- Assist in the planning, coordination, and execution of sales-driven events, including community outreach events, grassroots initiatives, internal events, and smaller- scale activations.
- Manage event logistics, including securing venues, coordinating vendors, ordering supplies, and managing event set-up and breakdown.
- Provide administrative support for the Events & Strategic Partnerships team, including calendar management, meeting coordination, expense tracking, and documentation.
- Prepare event materials, registration lists, signage, promotional items, and post-event reports.
- Collaborate with internal stakeholders, external vendors, and community partners to ensure successful event execution.
- Support the tracking and reporting of event metrics and performance outcomes.
- Maintain inventory of event-related supplies and promotional materials.
- Ensure all events reflect Kelsey-Seybold brand standards and comply with company policies and compliance regulations.
