JOB DESCRIPTION
The Front Desk Receptionist / Secretary serves as the first point of contact for students, families, staff, and community members, ensuring a welcoming and professional environment. This role is responsible for assisting with front office operations, providing exceptional customer service, and supporting the district’s communications efforts.
Key responsibilities include greeting and assisting visitors, responding to inquiries, updating website content, and processing transcript requests. This position also manages office supply ordering, tracking/submitting expenditure reports, orders business cards, scheduling conference spaces, handling community donations, and reviewing Spanish translation as needed.
A successful candidate will be tech-savvy, detail-oriented, and able to multitask in a fast-paced environment. Strong organizational skills, professionalism, and the ability to handle confidential information with discretion are essential. The Front Desk Receptionist / Secretary ensures the seamless operation of the front office while contributing to the district’s communication efforts and overall efficiency.

CONDITIONS OF EMPLOYMENT
- High school diploma or equivalent.
- Must present transcripts of the highest level of education within thirty (30) days of hire.
- Bilingual Skills Required - Must pass STAMP bilingual assessment in Spanish.
- Must be able to perform the essential functions of the position with or without reasonable accommodation.
- Must be able to meet the Physical Demands of the position.
- Must pass a basic skills test.
- Completion of SafeSchools training within thirty (30) days of hire and yearly thereafter.

- Excellent verbal and written communication skills in both English and Spanish, with a strong command of grammar, spelling, and language usage. Must be proficient in both languages to effectively communicate, both verbally and in writing, with students, parents, district staff, and community members regarding all job-related matters.
- Ability to handle confidential information with discretion.
- Ability to assess and correct issues involving safety.
- Ability to operate general office equipment such as: computer, copiers, printers and scanners.
- Willingness to participate in training to advance skills to meet the work-related needs of the department.
- Reliable transportation to and from work, including during inclement weather.
QUALIFICATIONS PREFERRED
- Bachelor’s degree, associate’s degree or equivalent experience in office administration, communications, or a related field.
- Previous experience in a K-12 education environment.
- Previous experience in a fast-paced, deadline driven administrative support, customer service and/or communications position.
- Previous experience updating websites and preparing organization communications
- Previous experience translating documents from English to Spanish.
JOB RESPONSIBILITIES
- Greet and assist visitors, providing accurate information and directing them as needed.
- Respond to inquiries from students, parents, and the community in person, via phone, and through email.
- Open/close the administration center at the start and end of each business day.
- Make website updates as needed to ensure accurate and timely information.
- Compose weekly staff Kudos and distribute using ParentSquare .
- Provide recommendations for family and community communications to the Executive Director based on feedback/phone call requests for information.
- Provide high school transcripts as requested.
- Order office supplies and maintain supply closet inventory.
- Review written Spanish as needed for accuracy and meaning.
- Create and order business cards and name badges/plates.
- Create name signs for individual office spaces.
- Process community requests for e-flyer distribution through Peachjar.
- Track community donations and draft thank you letters.
- Process applications and issue Tri-Cities Senior Citizen Gold Cards to community members.
- Track and update staff changes to phone directory, email lists and website.
- Track and maintain a list of current year retirees and assist with the retirement recognition program.
- Maintain district information materials in the front entrance.
- Schedule use of meeting rooms.
- Maintain and update video display content in lobby.
- Track incoming and outgoing mail and deliveries, ensuring timely distribution.
- Manage and distribute student and parent-related forms.
- Track and reconcile department purchasing card receipts and process monthly reports. -
- Create public hours and directional signs as needed.
- Update district staff on schedule changes/public hours during breaks, etc.
- Coordinate the repair and maintenance of copy machines.
- Maintain a safe, clean, professional, and welcoming front office environment.
- Maintain an updated Front Desk Operations Manual for substitutes.
- Lower and raise the building flag as directed .
- Submit maintenance work orders as needed to ensure safe building operations.
- Distribute casual employee paychecks in accordance with district procedures.
