Position Overview: We are seeking a highly organized and detail-oriented Administrative and Customer Service Specialist to join our dynamic team at Kensington Valley Varsity. In this role, you will support the operations of our screen print and embroidery shop by managing administrative tasks and delivering exceptional customer service. Key Responsibilities:
Administrative Duties (70%):
- Manage and maintain accurate records, schedules, and documentation related to orders and production.
- Process and track customer orders from inception to completion, ensuring timely delivery.
- Maintain and update databases and spreadsheets, ensuring data integrity.
- Coordinate with internal teams to ensure smooth workflow and task completion.
- Handle inventory tracking, supply orders, and vendor communications.
- Prepare reports and summaries as needed for management.
Customer Service Duties (30%):
- Serve as the primary point of contact for customers via phone and email, providing prompt and professional responses.
- Address inquiries about products, services, and order statuses.
- Assist customers in resolving issues, ensuring their satisfaction.
- Collaborate with the production team to address customer-specific requirements.
- Support group store and custom order setups, providing guidance to customers.
Qualifications:
- Proven experience in an administrative or customer service role, preferably in a production or retail environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent written and verbal communication skills.
- Highly organized with exceptional attention to detail.
- Ability to prioritize and manage multiple tasks effectively, even amidst interruptions.
- Strong problem-solving skills and a goal-driven mindset.
- Team-oriented with a positive attitude and a collaborative approach.
- Familiarity with screen printing or embroidery processes is a plus but not required.
