Duties And Responsibilities
Assist with the management and coordination of events related to the Division of Philanthropy and Alumni Engagement (DPAE) activities that advance the university relationships with alumni and donors. Reports to designated supervisor.
Plan and coordinate special event planning including the development and administration of invitation and guest lists, set-ups, ticket distribution, invitations, permits and licenses, technology requirements, signage and other event-related communications, organize and coordinate planning committees, and maintain database / records associated with events.
Implement events to engage audiences through both virtual and in-person events, including hybrid events as needed.
Provide on-site liaison/docent responsibilities to high level internal and external guests to establish congenial relationships and good communications with constituents (alumni, donors, board members, prospects, executives, etc.).
Assist in information analysis, conduct research and develop/prepare reports.
Oversee and supervise student personnel and volunteers as needed.
Partner with DPAE Communications for the development of materials and collateral (invitations, programs, speeches, signage, etc.) for events.
Oversee budget and procure services ensuring that events adhere to budget limits.
Provide a high level of customer service while managing questions and concerns in person, on the phone and via email.
Minimum Qualifications
Bachelor’s degree in hospitality, business, marketing, communications, or a related field of study, and a minimum of three years prior work experience in event planning
-OR-
A minimum of seven years of experience and education in event planning, business, marketing, communications.
Must be able to work a flexible schedule that may include evenings, weekends and holidays and may include additional hours during peak periods.
