What are the responsibilities and job description for the Commercial Programs Coordinator (Part-time) position at Kenton County Airport Board?
CLASS SUMMARY:
The primary program administrator for the Commercial Passenger Vehicle Operations and a key support for Parking Operations. This role includes responsibilities such as data entry, report compilation, correspondence, general customer service, and general administrative support activities. Additionally, this position provides customer service support to parking customers, frequent parkers, and commercial vehicle operators, and offers administrative assistance to the leadership team and department staff.
ESSENTIAL DUTIES:
This class specification represents only the core areas of responsibilities; specific position assignments will vary depending on the needs of the department.
- Serves as the primary customer service representative for the Parking and Ground Transportation Department, addressing concerns, comments, and questions from internal and external customers. Disseminates information to relevant parties as needed and handles the majority of customer service inquiries and responses to emails.
- Serves as the primary contact for the Commercial Passenger Vehicle Operations program, overseeing the annual renewal process for permits and ensuring compliance with all requirements. Manages the Commercial Vehicle Management System (CVMS), maintaining up-to-date records for over 300 commercial vehicles and approximately 100 operators, including insurance, licenses, and other documentation. Proactively identifies and escalates issues requiring leadership attention.
- Processes and approves permit applications, and ensures inventory of all permit approvals are consistent and accurate including daily permit payments.
- Monitors and conducts periodic inspections of the Commercial Passenger Vehicles, staging, and designated areas. Coordinate with key departments to ensure such areas are in good appearance including wayfinding.
- Communicates permit statuses, including valid and invalid permits, to the Airport Police Department and Public Safety Assistant employees while identifying, tracking, and notifying companies engaged in unauthorized business activities.
- Prepares and verifies reports on trip and revenue data for commercial vehicle operations and collaborates with the Finance Department on billing, including follow-up with operators to resolve outstanding accounts receivable balances.
- Assists with revenue reconciliations pertaining to Parking and Ground Transportation and preparation of Departmental reports reviewed by executive leadership and the Board.
- Oversees the entry, tracking, and maintenance of all purchases and inventory stock for the department, including fuel and snow removal supplies for the parking contractor. Collaborates with the Purchasing Department and the parking contractor to optimize CVG’s buying power and tax-exempt status for cost savings.
- Provides comprehensive administrative support to the leadership team and department , including scheduling, correspondence, record-keeping, and filing, while maintaining the airport’s electronic filing system.
- Issues and manages all parking cards within the revenue access control system for eligible participants, ensuring accurate maintenance of associated databases.
- Maintains and distributes complimentary parking validations for all departments and approved airport tenants. Coordinates with leadership, and other departments to facilitate Terminal and curbside access for special events, issuing temporary permits as needed.
- Enters and tracks service requests and safety reports for the department and parking contractor.
- Performs other duties of a similar nature and level as assigned.
TRAINING AND EXPERIENCE:
High School Diploma or GED and five years of related work experience or an equivalent combination of education and experience sufficient to successfully perform the essential duties of the job such as those listed above.
LICENSING/CERTIFICATIONS:
- Maintains Security Identification Display Area (SIDA) clearance.
KNOWLEDGE OF:
- Understanding of effective customer service techniques for addressing inquiries, concerns, and complaints from diverse internal and external stakeholders.
- Proficiency in scheduling, correspondence, record-keeping, and managing electronic filing systems.
SKILL IN:
- Clearly and effectively communicating both orally and in writing;
- Use of a variety of computer-based technologies including word processing, graphs and spreadsheets;
- Establishing and maintaining effective, fair, cooperative, collaborative and respectful relationships with internal and external colleagues, peers, work teams and workgroups.
- Demonstrated skill in data entry.
- Demonstrated skill in use of multi-line telephone.

Positions in this class typically require: stooping, kneeling, reaching, standing, lifting, fingering, talking, hearing, seeing and repetitive motions.
Sedentary Work: Exerting up to 10 pounds of force occasionally, and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects including the human body. Sedentary work involves sitting most of the time.
