Description
We are seeking a detail-oriented and experienced Payroll Specialist to join our Finance/Operations team. In this role, you will oversee payroll preparation and processing on a bi-weekly basis, ensure regulatory compliance, and assist in maintaining the integrity of the general ledger. Additional responsibilities include bookkeeping, journal entries, reconciliations, and invoicing review.
Key Responsibilities:
Payroll:
- Ensure completeness and monitor the accuracy of timecards in the system.
- Process bi-weekly payroll and ensure accuracy.
- Provide Paylocity training to leaders and employees.
- Maintain payroll records and backup documentation.
- Verify bi-weekly payroll balances and address employee inquiries.
- Process special checks, payments, and employee advances.
- Monitor payroll-related expenses and accrual balances.
- Oversee annual W-2 reporting and reconciliation with Paylocity.
- Complete federal and state payroll reports, including Forms 940 and 941.
- Prepare and submit quarterly Multiple Worksite Reports.
- Maintain and update payroll systems as needed.
Bookkeeping & General Accounting:
- Reconcile general ledger accounts, as assigned.
- Prepare and post month-end journal entries.
- Oversee and process annual property tax returns and payments.
- Review monthly client billing and invoice postings.
- Assist in developing, maintaining, and presenting finance training materials.
- Respond to inquiries from staff and leaders in a timely manner.
- Manage the organization’s monthly bookkeeping processes and produce reports.
- Establish and schedule annual distributions.
- Provide ad hoc analysis and reporting.
- Ensure full utilization of Information Systems.
- Perform other duties as assigned.
Requirements
Qualifications:
- 4-year degree is preferred OR 2-year accounting degree with a minimum of 5 years of experience.
- Prior payroll processing and bookkeeping experience preferred.
- Knowledge of QuickBooks (preferred, not required), proficiency in Excel, proficiency in payroll software (e.g., Paylocity).
- Experience with multi-entity bookkeeping and reporting.
- Strong analytical and organizational skills.
- Excellent communication and problem-solving abilities.
