POSITION ANNOUNCEMENT
POSITION: OPERATIONS & COMPLIANCE COORDINATOR
Full-time, Non-exempt position
LOCATION: KBIC Natural Resources Department
Pequaming, Michigan
SUPERVISORY CONTROL: Administrative Specialist
SALARY: Grade 7 (minimum starting wage = $19.47/hour) Note: This position has been classified as 15%tax-exempt for qualified KBIC Tribal Members under Internal Revenue Code §7873 – Tax Exemption for Income Derived from Treaty Fishing Rights Related Activities.
QUALIFICATIONS:
· Associate degree in administration, management, business, accounting, or related field and two (2) years of full-time work experience performing similar job duties (as listed below).
OR
High School Diploma and four (4) years of full-time work experience performing similar job duties.
· Collegiate emphasis in accounting and information systems, or business management and policy development is preferred.
· Must have demonstrated experience in fiscal or budget management, institutional operations, management of federal grants or contracts, and report writing.
· Must be in good physical condition and occasionally lift up to 40 lbs.
· Must have legible handwriting.
· Must possess a valid, unrestricted driver’s license, reliable vehicle, vehicle insurance, a good driving record, and be insurable to operate fleet vehicles.
· Must be willing to attend various trainings as directed.
· Must possess good attention to detail, strong organizational skills, and motivated to learn new skills.
· Must have demonstrated work experience with computer software including MS Excel, MS Word, accounting software, and other programs.
· Must be willing to work occasional weekends when required.
· Must maintain strict confidentiality.
· Must be able to obtain a satisfactory clearance in accordance with the Indian Child Protection and Family Violence Prevention Act Background Investigations Policy.
· Employment is contingent upon the satisfactory result of a Security Background Check, pre-employment drug testing, and pre-employment physical.
INDIAN PREFERENCE: Preference will be given to qualified individuals of American Indian descent.
VETERAN PREFERENCE: Preference will also be given to qualified Veterans who do not have bad conduct or
dishonorable discharges (need DD214).
DUTIES AND RESPONSIBILITIES:
1) Works effectively and maintains a disciplined and professional work ethic both with minimal supervision and in a team environment.
2) Develops and maintains respectful and good working relations with other Departments and Government staff, government agencies, and organizations.
3) Uses and is proficient in various computer software including spreadsheets, databases, graphics, word processing, and other computer programs required to accomplish duties as assigned.
4) Will be required to maintain strict confidentiality regarding KBIC, Department, and staff-related information.
5) Assists with travel planning, coordinating, and reporting as requested.
6) Assists with purchase requests to the Director for approval.
7) Assists with the preparation of information for Tribal Council and other meetings as required.
8) Accepts contacts and calls from tribal officials, the Membership, government agencies, contractors, suppliers, as well as the general public seeking information.
9) Answers phone and directs calls as necessary.
10) Helps with the records of departmental procurement and expenditures as requested.
11) Assists the Administrative Specialist with record-keeping systems related to Requests for Purchase and all other orders.
12) Assists with identifying Department operational needs and assists with achieving operational goals.
13) Assists the Administrative Specialist with Department staff scheduling and coordination.
14) Reviews, edits, or prepares reports, and reviews and responds to correspondence as directed.
15) Assists with maintaining Department personnel files.
16) Communicate with various internal departments, consultants, vendors, and personnel as needed.
17) Prepares requests for proposals, contractor bid packages, and various other internal forms as needed.
18) In the absence of the Administrative Specialist may be required to coordinate the submittal of time sheets and other administrative records.
19) Review completed time sheets to ensure accuracy prior to submission to payroll.
20) Review facility operations, assist with developing policy, and make recommendations for more efficient operations when requested.
21) Compiles and prepares reports on facility expenditures for various facility operations when requested.
22) Department GSA contact for vehicle leasing and responsible for activities related to GSA vehicle maintenance.
23) Participates in various planning meetings and efforts and may assist or conduct facility planning.
24) Reviews Department needs and priorities, and makes planning recommendations.
25) Various research and special project duties as assigned.
26) May be required to assist other staff with coordinating and executing various project activities.
27) Works with other staff to conduct Department outreach and educational events.
28) Ensures all vehicle registration and insurance is current and up to date.
29) Assists with the operation of and processes related to the Fish Processing Facility, Teaching Facility, and related buildings.
30) Maintains current inventory of vehicles, computers, and all other capital equipment.
31) Other duties as assigned by the supervisor.
