Position Summary

Reporting directly to the President and CEO, the Executive Assistant provides

executive support in a one-on-one working relationship. The Executive Assistant also performs a wide variety of executive secretarial and administrative duties, including support to senior management. Must be able to interface effectively with the CEO, as well as directors, senior management, and other personnel and represent the CEO in a highly professional manner. Performs in a highly sensitive environment and deals with confidential matters, including Board of Directors meetings, directors' committee meetings, Sr. Management meetings, etc., and must therefore be able to maintain the highest level of confidentiality.


Duties and Functions Essential to the Successful Performance of the Job

  1. Provide confidential administrative support to the CEO. Complete a broad variety of administrative tasks for the CEO, including completing expense reports and composing and preparing correspondence and coordinates meetings.
  2. Assist the CEO in the management of their schedule, handle their calls from both internal and external sources and process their mail. Work closely and effectively with the CEO to keep them well informed of upcoming commitments and responsibilities. Screen incoming mail, publications, and other correspondence.
  3. Research, prioritize, and follow up on incoming issues and concerns addressed to the CEO, including those of a sensitive or confidential nature.
  4. Makes travel and lodging arrangements for the CEO and all Keys FCU staff.
  5. Prepares or assists in the preparation of assigned reports.
  6. Assists the CEO in aspects related to the Board of Directors and Committee meetings, including preparing Board packages, scheduling and attending Board meetings and Supervisory Committee meetings, recording minutes and answer questions from Board.
  7. Provide administrative support for executive staff as needed.
  8. Coordinate special credit union events, such as Annual Meeting of Members, annual picnic, and year end party.
  9. Receive and distribute incoming mail.
  10. Performs other job related duties as assigned

Minimum Job Requirements:


Education:

High School diploma or equivalent

A two-year college degree preferred

Experience:

Five to ten years of similar or related experience.

· Work involves much personal contact with others inside and/or outside the organization for the purpose of first-level conflict resolution, building relationships, and soliciting cooperation.

· Position continually requires poise, tact and diplomacy.

· Discussions involve a higher degree of confidentiality and discretion, requiring diplomacy and tact in communication.

Other Skills:

· Excellent organizational and editing skills

· Typing skills utilizing Word at or above the 75 percentile in speed and 90th percentile in accuracy;

· Highly proficient with email, word processing and spreadsheets


· Excellent written and verbal communication skills.

· Analytical ability to originate, organize, and carry out complex tasks, projects, and research assignments and to understand a variety of documents.

· Proven experience in organizing special events.

· Highly resourceful team-player, with the ability to also be extremely effective independently

· Flexible and innovative.

· Independent judgment to plan, prioritize, and organize diversified workload.

· Proven ability to multi task.

· Demonstrated ability to achieve high performance goals and meet deadlines in a fast paced environment.

· Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.

Salary : $60,000 - $70,000
