What are the responsibilities and job description for the Administrative Specialist to Student Life position at Keystone College?
- Assists the Assistant Vice President of Student Life by acting as a confidential liaison between students, parents, faculty, staff, alumni and other outside constituents
- Assists students in a confidential, caring manner, providing information and directing them to appropriate person/department
- Handles correspondence, telecommunications and receives office visitors
- Helps to manage the Residence Life and Student Life email boxes and phone lines
- Provides administrative support to the Assistant Vice President of Student Life; works inde pendently with a high level of sound judgment, organization, and problem solving; coordinates projects after receiving instruction from the Assistant Vice President of Student Life; drafts rou tine communications, reports and presentations
- Supports Student Life staff by assisting with data management in Jenzabar and MyKC, and by maintaining the web content for Student Life
- Manages the Assistant Vice President of Student Life's schedule; schedules meetings, aids in preparing for meetings, prepares agenda, gathers and compiles data and materials for meetings; contacts participants and coordinates schedules; upon request, attends meetings and records minutes
- Oversees Student Life and individual departmental budgets; monitors and signs off on expendi tures for department; prepares check requests, purchase orders; verifies monthly VISA/MC charges for office
- Maintains a high level of confidentiality due to the nature of the office; safeguards the confiden tiality of College, departmental or office administration by exercising discretion in communi cating information to faculty, students, and staff, and handling departmental records and files, personnel actions, performance evaluations, grade reports and similar confidential materials
- Establishes and maintains official documents and records in appropriate files including private and confidential information regarding students
Supervises work study students in the Office of Student and Residence
- Attends committee meetings and reports information to the Assistant Vice President of Student Life
- Assists with Homecoming, Family Weekend, New Student Orientation, All Honors Convocation and Commencement.
- Assists the Director of Student Life in supervising Student Clubs and Organizations.
- Assists with the scheduling of the Student Life Student Shuttle.
- Acts as a liaison with the Student Life Division and other offices on campus
- Assists with the publication of the Student Handbook and other publications
- Updates and monitors staff on delegated tasks to ensure progress to deadlines
- Skills and Abilities:
- Proficiency with Microsoft office and web-related technologies is required
- Ability to communicate and solve problems independently and efficiently, as well as establish
.and maintain harmonious relations with other staff, faculty, students and visitors
- Must be able to manage detailed information related to multiple projects occurring simultane- ously
- Possession of excellent skills in Business English, spelling, punctuation and basic math required
- Ability to draft routine correspondence and reports competently and with minimum direction
- Ability to interact effectively with a wide variety of people both inside and outside the College in a manner that positively portrays the College and its programs, personnel, and philosophies
- Ability to support, with enthusiasm, the stated mission and values of the College
- Ability to work independently
- Occasional evening and/or weekend hours may be required
