Position Description:
The Meals on Wheels Coordinator will coordinate Meals on Wheels (MOW) Services for Keystone Community Services including ensuring the delivery of meals to clients and maintaining program databases while providing clear and excellent customer service for all involved parties.
This position will work with other Keystone departments as well as community and county partners to support and grow the program under the direct supervision of Keystone’s Director of Senior Services.
The Meals on Wheels Coordinator works out of Keystone’s West 7th Street Community Center in St. Paul. The anticipated hours for this position are from 8:30 a.m. to 2:30 p.m., Monday through Friday.
Essential Functions:
Meals on Wheels (MOW) Coordination and Delivery: 75%
- Complete client intake by gathering the required information from the referral source, contacting the client to review policies, and discussing preferences and menu options.
- Enter and maintain accurate client information in program databases. Update preferences and schedules in the database promptly.
- Provide ongoing customer service over the phone with clients who wish to make changes to their meals.
- Maintain route sheets and adjust routes as appropriate.
- Check in with volunteers before and after delivery; provide a feedback option for them if you are not available..
- Alert family or primary contact if a driver indicates a concern.
- Create month-end reports for supervisor.
- Follow up with clients regarding billing issues and outstanding balances.
- Deliver meal routes as necessary.
- Stay current on all necessary food safety licenses and regulations from the city, county, state, and federal levels.
Partnerships and Collaboration: 20%
- Work with the Volunteer Engagement Manager to recruit and train volunteers and maintain the volunteer schedule.
- Work with the Grocery Delivery coordinator to grow each other’s client base and review shared client needs.
- Work with case managers on client concerns and service agreements.
- Consult with Supervisor and/or Care Manager when client issues arise.
- Work with Metro MOW and Ramsey County MOW to reconcile billing.
Other: 5%
- Perform other duties or projects as assigned.
- Participate in weekly staff and regular agency meetings.
- Participate in training that pertains to your position.
Qualification Requirements
- A high school diploma or equivalent.
- One year of experience working with seniors and volunteers in a community setting.
- Prior experience with scheduling, planning, and logistics.
- Previous database experience and the ability to learn new software.
- A valid MN Drivers License and reliable transportation.
- Excellent customer service and communication skills.
Qualification Preferences
- Bilingual fluency in another language (Spanish, Karen, or Hmong preferred)
- Prior experience working in a non-profit setting.
Physical/Mental Requirements
- Able to lift 30 lbs. from floor to shoulder height and to bend and twist while lifting
- Frequent sitting, frequent standing
- Computer work, telephone calls
- Able to use Microsoft suite software, telephone, calculator
