Position Overview

The AR (Accounts Receivable) and AP (Accounts Payable) Manager is responsible for overseeing and managing the company's accounts receivable and accounts payable processes. This role ensures the accurate and timely processing of invoices, receipts, and payments, maintaining healthy cash flow, and optimizing financial operations.

Key ResponsibilitiesAccounts Receivable (AR) Responsibilities:

  • Manage the end-to-end accounts receivable process, from invoicing to payment collection.
  • Ensure timely and accurate invoicing to customers in compliance with company policies and customer contracts.
  • Monitor and track accounts receivable aging, follow up on overdue accounts, and manage collections to ensure timely payments.
  • Analyze and report on accounts receivable performance, identifying trends, discrepancies, and opportunities for improvement.
  • Resolve any discrepancies related to accounts receivable, including investigating short payments, misapplied cash, and billing issues.
  • Develop and maintain relationships with customers to ensure smooth collection processes.
  • Coordinate with the sales team to ensure customer orders are properly invoiced and payments are tracked.
  • Ensure compliance with financial regulations and internal policies for receivables.

Accounts Payable (AP) Responsibilities:

  • Oversee the full accounts payable process, including invoice processing, approval workflows, and payment disbursement.
  • Manage vendor relationships to ensure smooth communication and resolve any payment disputes or issues.
  • Ensure timely and accurate processing of invoices, purchase orders, and employee reimbursements.
  • Monitor accounts payable aging and ensure timely payments to avoid late fees and maintain positive vendor relationships.
  • Perform month-end and year-end closing procedures related to accounts payable.
  • Reconcile accounts payable transactions and resolve discrepancies or vendor inquiries.
  • Review, verify, and approve all payments, ensuring that the company’s cash flow is managed effectively.

General Responsibilities:

  • Prepare and present regular AR and AP reports to senior management, highlighting key performance indicators (KPIs) and any issues or concerns.
  • Ensure compliance with accounting standards, tax regulations, and corporate policies.
  • Maintain internal controls to safeguard company assets and minimize financial risk.
  • Collaborate with other departments, such as procurement, sales, and operations, to streamline processes and resolve issues.
  • Supervise and mentor accounts receivable and payable staff, providing guidance and support.
  • Continuously evaluate and improve AR and AP processes to increase efficiency and effectiveness.
  • Assist in audits and provide necessary documentation and reports during the audit process.

Skills & Qualifications:

  • Bachelor's degree in Accounting, Finance, or related field.
  • 5 years of experience in AR and AP management or accounting, with at least 2 years in a supervisory or managerial role.
  • Strong knowledge of accounting principles and practices, especially related to accounts receivable and accounts payable.
  • Proficiency with accounting software (e.g., SAP, IQMS, QuickBooks, NetSuite, etc.).
  • Excellent attention to detail and accuracy in financial transactions.
  • Strong analytical and problem-solving skills.
  • Ability to manage multiple tasks and priorities in a fast-paced environment.
  • Strong communication and interpersonal skills.
  • Ability to lead and develop a team, providing guidance and support to junior staff members.
  • Knowledge of tax regulations and financial reporting standards.
  • Advanced Excel skills (pivot tables, VLOOKUP, formulas).

Preferred Skills:

  • Speaking Spanish is a Plus
  • Experience in a fast-growing or large organization.

Working Conditions:

  • Full-time, 40 hours per week, with some flexibility based on business needs.
  • Potential travel to meet with vendors or clients (if applicable).

Job Type: Full-time

Pay: $70,000.00 - $80,000.00 per year
