Position Overview:
The Office Manager will oversee the day-to-day administrative operations of our office while managing bookkeeping tasks tailored to the construction/roofing industry. This role is ideal for a proactive and highly organized professional who thrives in a fast-paced environment, has a keen eye for detail, and is passionate about supporting a growing company.
Key Responsibilities:
Office Management:
- Oversee and manage daily office operations to ensure efficiency and productivity.
- Manage scheduling, correspondence, and office communications.
- Coordinate with team members, vendors, and clients to facilitate smooth operations.
- Maintain office supplies and ensure proper functionality of office equipment.
- Implement and refine office policies and procedures.
Bookkeeping & Financial Tasks:
- Maintain accurate financial records, including accounts payable/receivable and general ledger management.
- Prepare monthly financial reports and assist with budget management.
- Reconcile accounts and manage payroll processing.
- Coordinate with external accountants and auditors as needed.
- Monitor job costing and expenses specific to the roofing/construction industry.
Administrative Support:
- Organize and maintain filing systems for both digital and physical records.
- Assist in HR tasks, including onboarding, timekeeping, and employee documentation.
- Support project management teams with administrative tasks as required.
- Track and ensure compliance with licensing, permits, and insurance requirements.
Qualifications and Skills:
- Experience: Minimum of 3 years as an Office Manager or in a similar administrative role, preferably within the roofing or construction industry.
- Bookkeeping Expertise: Proven experience with QuickBooks or other accounting software, including handling payroll, job costing, and reconciliations.
- Technical Skills: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable with industry-specific software tools.
- Detail-Oriented: Strong organizational and multitasking skills with a focus on accuracy and efficiency.
- Communication Skills: Excellent verbal and written communication skills.
- Problem-Solver: Ability to prioritize tasks, manage deadlines, and handle challenges effectively in a dynamic work environment.
