Commercial Construction Project/Estimating Coordinator
KGG Concrete, Inc. is located in the Temecula Valley area and we are currently seeking to fill one position for a commercial construction Project Coordinator/Estimating Assistant. The ideal candidate must have at least 2 years commercial construction administration experience, public works construction is a plus, excellent verbal and written communication skills, and a desire to expand their knowledge of the construction project management process. The candidate should also have a global understanding of how commercial construction projects are administered, and would be responsible for the following:
PROJECT SET UP
- Prepare all project forms, plan index, and exhibits to attach to Subcontract Agreements
- Create all electronic and hardcopy project files/folders/binders for office and field staff
- Request W-9, Run Contractor’s Licenses, DIR, etc. for all subcontractors
- Set up Project in Procore.
- Support Project Management in all aspects of Project administration including meeting arrangements, progress tracking and documentation.
RFI'S
- Process and distribute RFI responses to subcontractors
- Create and distribute Outstanding RFI Log for weekly OAC Meetings
SUBMITTALS
- Create Subcontractor Submittal Register Logs
- Create and distribute (Subcontractor) Outstanding Submittal Logs to subcontractors weekly
- Process submittal responses to subcontractors
- Create and print Outstanding (Architect) Submittal Logs weekly for OAC Meetings
SUBCONTRACTOR DOCUMENTS
- Create, issue, track and process Subcontractor LOI’s
- Create, issue, track and process Subcontractor NTP’s
- Create, issue, track and process Subcontract Agreements, Purchase Agreements, and Purchase Orders including all revisions.
- Create, Issue, track, and process Subcontractor CCO’s
- Manage and track Sub monthly billings via Procore invoicing.
OWNER DOCUMENTS
- Process Prime Contract in Procore
- Process and Issue PCO’s to Owner
- Issue, track, and process owner PCCO’s
- Create and print PCO Log for weekly OAC Meetings
- Distribute and track monthly Owner pay applications.
CLOSEOUT PROJECT
- Create warranty form(s)
- Create & issue subcontractor warranty forms
- Create & distribute Subcontractor Outstanding Closeout Logs weekly
- Track, review, approve, and process subcontractor closeout items
- Create and issue Closeout Binders & E-binder
- Request, collect, track and arrange delivery of required subcontractor extra stock items
- Schedule subcontractor training sessions with superintendent and owner
- Archive Project
Estimating
- Assist estimating team on bid day
- Assist in filling prequalification/Bid forms
- Making phone calls to subcontractors
- Work with Pre-Construction Manager as needed

- Construction admin processing knowledge required
