Job Description
The Clinic Manager, Back Office (CMBO) will be responsible for overseeing day-to-day operations of the health centers for the efficient coordination, management of workflow, and safe provision of quality patient care. This position will also support the medical providers and oversee the implementation of existing/new services under the direction of the Director of Patient Services. The CMBO will be responsible for the supervision of back-office staff, including hiring, training and disciplinary actions as needed. In addition, the CMBO will take a leadership role in implementation and monitoring of clinical quality initiative and have primary responsibility for vaccine and medication supply management across all clinic sites.
Qualifications
Minimum High School diploma
LVN professional licensure required.
2 years of experience. Including 1 year of supervisory experience
Current First Aid / CPR certification
Excellent communication skills; written and verbal.
Ability to use tact, discretion, and sensitivity when interacting with patients.
Excellent interpersonal skills.
Time Management acuity; including deadline prioritization of multiple projects
Must have reliable transportation, current driver’s license and auto insurance
Experience in community clinic environment a plus.
Proficient in Korean, Spanish or Bengali, required
Responsibilities
Take a leadership role in the management of back-office workflow to ensure efficiency and effectiveness.
Staff training of documentation, procedure, and protocols.
Participate in all QI/QA projects, activities, and initiatives.
Assist with patient appointments and staff schedules.
Provide front-line support in addressing immediate patient needs and/or complaints.
Inventory Management for all medical and specialty services.
Vaccine Management for both the Vaccines for Children (VFC) and Cash Pay vaccine programs.
Responsible for ensuring that health center is in compliance with established performance metrics.
Manage and communicate all significant clinical findings to providers as needed.
Acts as liaison to all labs, hospitals, provider offices, pharmacies and specialty offices.
Oversee Medical Assistant trainees, students, etc. as directed by Sr. Clinic Manager
Act as a role model in providing care.
Provide orientation and training for new clinical staff as directed by Clinic Manager.
Recommend areas of improvement.
Asses workflow of back office Medical Assistant staff and schedule accordingly, covering absences, illnesses, and breaks.
Provide review of Medical Assistant skills and performance abilities using designated evaluation tools.
Ensure that all back office staff performs in compliance with organizational policies related to clinical and administrative guidelines.
Supervise back office workflow in accordance with PCMH, HRSA and FTCA guidelines.
Provide feedback and observations to superiors for corrective actions as needed.
Perform Back Office duties as needed.
Assist provider in examination/procedure rooms as needed.
Other duties as assigned.
