What are the responsibilities and job description for the Intake Specialist position at KIDS Center?
KIDS Center works together with Law Enforcement Agencies (LEA), medical providers, and Oregon Department of Human Services (ODHS) to create a supportive response to child abuse through a multi-disciplinary team approach.
We're currently looking to fill a full-time Intake Specialist position responsible for serving as the initial point of contact with referring parties and families, screening referrals made by community partners, scheduling appointments with families, and coordinating incoming reports and case information.
This position plays an integral role in the intake process for families coming to KIDS Center by scheduling client appointments and helping to prepare them for their visit.
The Intake Specialist also maintains communications with community partners, creates and maintains electronic health records, processes outside case reports, and requests medical records from other agencies.
A successful Intake Specialist will have a good understanding of HIPAA compliance, excellent critical thinking and decision-making skills, the ability to interact with families and community partners, and maintain a calm and professional demeanor even when under pressure.

Intake Responsibilities
· Serve as the initial point of contact for referring agencies.
· Gather pertinent information from referring agency to ensure case components are understood prior to consultation with appropriate team members.
· Consult on referral with appropriate team members to confirm service eliq and identify specific needs of the case.
· Schedule client appointments and work with families to prepare them for their upcoming appointment.
· Maintain communication with community partners about the status of appointments and other pertinent issues that may arise to support full attendance of evaluation appointments by all parties.
· Create and maintain electronic health records.
· Obtain and process outside case reports from ODHS, LEA, District Attorneys, Medical and Mental Health.
· Obtain medical records from other medical providersupon request by team members.
· Provide back up to sending reports to partners.
· Maintain statistical referral data and provide to staff as requested.
Record Processing Responsibilities
Records and Subpoenas
· Act as the primary contact for records requests and subpoenas received by KIDS Center.
· Communicate with civil/defense attorneys regarding requesting or subpoenaing KIDS Center documents.
· Inform attorneys of KIDS Center policies and workflow regarding records and subpoenas.
· Process subpoenas including logging, documenting, calendaring, communicating about, and tracking subpoenas. Manage record requests/subpoenas from community partners, attorneys, and parents. Ensure policies and procedures are followed and appropriate court orders obtained prior to the release of records as needed. Hand deliver records to the Court when appropriate and copy DVDs when necessary. Consult with Executive Director and other KIDS Center staff on these matters as needed.
Required Education and Experience
· Bachelor’s degree in related field or prior experience in a job that requires HIPAA compliance, critical decision making and collaboration with community partners and agencies.
· A combination of education and years of experience may be considered.
· Ability to maintain a professional, calm and patient manner.
· Ability to work independently with little supervision.
· Strong communication skills.
Job Type: Full-time
Pay: $25.50 per hour
