Summary
The Sales Planning & Event Specialist supports the sales team by managing sales presentations, customer meetings, and tradeshows. This role involves planning events, overseeing projects, and contributing to account management activities through reporting, maintenance, and execution tasks. The Sales Planning & Event Specialist works collaboratively with Account Managers, Sales leaders, and cross-functional teams to ensure seamless sales support. Exceptional judgment, strong communication skills, organizational abilities, and multitasking are essential. The role requires initiative, confidentiality, and a forward-thinking approach to effectively support team goals.
Primary Responsibilities and Essential Functions
- Sales Support:
- Maintain and regularly update the sales SharePoint site, ensuring all relevant selling information is accessible to the team.
- Assist with customer setup, renewal, and addendum processes to ensure accurate and timely documentation.
- Support sales forecasting by gathering data and assisting in analysis
- Maintain and update sales distribution lists and global customer organizational charts, providing regular updates on customer activity and meetings.
- Manage inventory for samples and promotional materials, coordinating distribution for customer meetings and events.
- Event Facilitator:
- Plan and coordinate tradeshows, events, and customer meetings to effectively showcase products and sales strategies.
- Facilitate and guide the team through the sales call process to ensure a consistent and effective approach.
- Act as project manager, keeping cross-functional teams on task to execute events successfully.
- Project Management:
- Track active displays and upcoming projects to optimize resource allocation and planning.
- Collaborate on ad hoc projects and customer initiatives to drive sales performance.
- Team Coordination:
- Organize and coordinate team and staff meetings, ensuring efficient scheduling and preparation.
- Schedule and manage team calendars, assist with expense reports, and arrange travel and itineraries.
- Prepare and review confidential correspondence and reports.
- Foster strong internal and external relationships critical to organizational success.
- Problem-Solving and Initiative:
- Proactively identify and resolve issues, demonstrating sound judgment and maintaining professionalism under pressure.
- Continuously seek opportunities for improvement and innovation, employing a forward-thinking approach.
- Other Duties:
- Fulfill additional responsibilities as assigned to support organizational objectives and team success.
QUALIFICATIONS & EXPERIENCE
- Must have 5 years of sales support experience
- Exceptionally strong project management skills with strong financial acumen
- Must be highly proficient/advanced in PowerPoint, Excel, Word, Outlook, SharePoint
- Ability to manage multiple priorities in changing global environments and tight timelines.
- Strong critical thinking and problem-solving skills applicable to all aspects of work.
- Strong event planning and coordination experience.
EDUCATION & SKILLS
- Bachelor's degree in business administration, sales, or a related field is preferred but not mandatory.
- Advanced level written and verbal communication skills
- Excellent interpersonal and communication (verbal and written) skills
COMPUTER SKILLS
- Must be highly proficient/advanced in PowerPoint, Excel, Word, Outlook, SharePoint
PHYSICAL DEMANDS
- While performing the duties of this job, the employee is regularly required to sit; have flexible use of hands; and talk or hear.
- The employee is occasionally required to stand, walk, and reach with hands and arms.

WORK ENVIRONMENT
- This hybrid role is in office a minimum of Tuesday – Thursday. This could increase based on customer, sales and executive meetings etc.
