Job Title: Front Desk/Receptionist

Job Overview: Ultimately, a Receptionist’s duties and responsibilities are to ensure the front desk welcomes guests positively and executes all administrative tasks to the highest quality standards. Receptionist should have a pleasant personality, as this is also a customer service role. Multitasking, flexibility, and stress management skills are essential for this position.
Responsibilities and Duties:
Greets and welcomes all visitors in person or by phone
Provide basic and accurate information in-person and via phone/email
Requests all visitors sign in.
Notifies appropriate personnel of visitor arrival.
Delegates animal showings to staff or trained volunteers
Delegates meet & greet activities to staff or trained volunteers
Directs phone calls to the appropriate person and/or takes a message to have the call returned.
Listens and responds to voicemail - uses message pad for others and fills out all information completely
Order front office supplies and keep inventory of stock as directed.
Screens all email in the general account, responds or forwards to the appropriate party
Maintains appointment calendar for visitors to see animals, meet and greets, adoption finalization/go home, veterinary appointments, etc. Do not double book appointments unless authorized by director.
Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing
Find/arrange transport for animals as needed.
Contact and set up fosters for animals.
Keeps a safe and clean reception area by complying with procedures, rules, and regulations.
Deals with emergencies in a timely and effective manner, while streamlining office operations.
Supports continuity among work teams by documenting and communicating actions, and continuing needs.
Contributes to team effort by accomplishing related results as needed.
Qualifications/skills:
Proven work experience as a Receptionist, Front Office Representative, or similar role
Proficiency in Microsoft Office Suite
Hands-on experience with office equipment (e.g., fax machines and printers)
Professional attitude and appearance
Solid written and verbal communication skills
Ability to be resourceful and proactive when issues arise
Excellent organizational skills
Multitasking and time-management skills, with the ability to prioritize tasks
Customer service attitude
High school degree: additional certification in Office Management is a plus
