Essential Duties and Responsibilities:
As a Field Operations Administrative Assistant, you will provide day-to-day support to the Field Operations team.
Greet people entering the office, answering any questions, providing directions, and alerting staff when someone is there to meet or visit them
Answer a multiple line phone system, manage calls by routing them to the proper extensions or taking messages and delivering them within our message system along with setting up conference calls as requested
Communicates management’s instructions to various individuals and/or departments
Check and prepare invoices for approval. Work with company Accounts Payable team to facilitate invoice payment.
Checks and verifies receipts, schedules, purchase orders and other documents as needed
Receive, sort, and distribute daily mail/deliveries
Work with corporate support personnel on a variety of clerical related tasks
Arrange food orders as requested, including set-up and clean-up as appropriate
Provide basic and accurate information in person and via phone/email
Order office supplies and keep an inventory of stock
Update calendars and schedule meetings
Perform other clerical receptionist duties such as filing, data entry, photocopying, and faxing
The Field Operations Administrative Assistant position must have strong attention to detail and always maintain confidentiality
Education and/or Work Experience Requirements:
High School Diploma or GED required
2 years of proven work experience as a Corporate Admin, Front Office Representative, or similar role
Proficiency in Microsoft Office Suite
Hands-on experience with office equipment (e.g., fax machines and printers)
Professional attitude and appearance
Solid written and verbal communication skills
Ability to be resourceful and proactive when issues arise
Excellent organizational skills
Multitasking and time-management skills, with the ability to prioritize tasks
Customer service attitude
High school degree: additional certification in Office Management is a plus
Working Conditions:
Prolonged periods of sitting at a desk and working on a computer
Must be able to access and navigate each department at the organization’s facilities
Occasional driving may be needed to travel to Kinetik plants and worksites as needed
Available outside of normal working hours as needed for business necessity
Physical Requirements:
Ability to safely and successfully perform the essential job functions consistent with the ADA, FMLA, and other federal, state, and local standards, including meeting qualitative and/or quantitative productivity standards.
Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state, and local standards
Ability to work effectively in all working conditions noted above.
Will require lifting, carrying, pushing and pulling up to 15 lbs. in a safe manner on an occasional basis
