What are the responsibilities and job description for the Office Receptionist position at Kinex Medical, LLC?

This position is the conduit that works between Kinex and the distribution force. This position is reactive in nature to the concerns from the distributors. Secure issue details and process requests efficiently and effectively. Effective communication is the key to this role. This will be a combined position working part-time in the Kinex Office and Part-time at the retail location. This position handles the retail environment for medical and non-medical transactions at our retail location. Processes incoming orders into Kinex systems. It is the first point of contact for revenue operations entering the Kinex system to ensure clean processing of orders and claims

ESSENTIAL DUTIES and RESPONSIBILITIES:

Essential Duties and Responsibilities Include but not limited to:

  • Monitor and distribute incoming faxes, mail, and emails
  • Accounting invoice review
  • Daily billing statement mailings
  • Printing of requested marketing literature
  • Monthly warehouse inventory.
  • Assist uploading patient paperwork to electronic files when needed
  • Process order intake forms to ensure they are added to the correct systems
  • Enter customer orders into the Kinex systems by inputting alphabetic and numeric information using the established process and protocols
  • Verify entered data by reviewing, correcting, deleting, or reentering data; combining data from multiple sources when information is incomplete
  • Perform other duties as assigned
  • Process Point of Sale Transactions
  • Schedule patients for fitting of medical products
  • Process incoming and make outgoing phone calls to customers and referral sources.
  • Performs work accurately with an eye for detail
  • Utilizes the communication tools outlined by Kinex (ex. SharePoint, track-it, etc.);
  • Escalate issues to the proper level or business unit to be able to address the situation;

MINIMUM QUALIFICATIONS:

Education High School Diploma or GED

Experience and/or Training Customer Service and Phone Experience encouraged

Licenses/Certificates None

Training Will be provided

Technology/Equipment All technology will be provided

Physical Demands

To perform this job successfully an individual must have the ability to work in a sitting position at a computer for up to 8 hours per day. Specific vision abilities required by this job include close vision. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. Ability to lift up t o40 pounds. Work with inventory, putting stock away, or organizing stock.

Mental Demands

While performing the duties of this job, employees are regularly required to use written and oral communication skills; read and interpret data, information and documents; analyze and solve non-routine and complex office administrative problems; use math and mathematical reasoning; observe and interpret situations; learn and apply new information or skills; perform highly detailed work on multiple, concurrent tasks; work under intensive deadlines with frequent interruptions; and interact with patients and visitors encountered in the course of work, some of whom may be dissatisfied or abusive individuals.

WORKING ENVIRONMENT:

Job responsibilities will be performed within an office environment. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. There is no little to no risk for exposure to infectious disease as this position does not mandate direct contact with patients or equipment. Should the employee become infected with Tuberculosis, they will report to their direct supervisor to ensure that other employees are not at risk for exposure. The employee will seek medical attention and not return to work until released by a physician.
