Summary

The Community Health Services Division of Public Health- Seattle & King County is seeking an Administrative Specialist II, to join our dynamic, multidisciplinary, and diverse teams at Downtown Public Health Center, in delivery of health services to the County's most vulnerable people. Downtown Public Health is one of our largest centers, where we provide family health, pediatrics, parent-child health, dental, family planning, health insurance enrollment services, and ORCA Lift. We serve a diverse low-income population including people who are experiencing homelessness, recent immigrants and refugees, people with complex health conditions, and people with limited English proficiency.

This position supports a broad range of healthcare services, with primary focus around health information management, in a fast-paced public health center environment that are used by economically, socially and culturally-diverse populations. The successful candidate must have excellent customer service skills, in-person and over the telephone (discretion, patience, etiquette professionalism), and must be an independent self-starter with excellent time management and organizational skills. The candidate must be able to work with supervisors and staff to develop and promote a team-centered atmosphere to facilitate operations which are efficient and provide maximum service delivery to clients.

Work Schedule

This position works Monday through Friday, 8:00 a.m-5:00 p.m.

Employees must reside in Washington state and within a reasonable distance to their King County worksite to respond to workplace reporting requirements.

Job Duties

  • Participate and provide direct support of the daily operations for the medical record team to include record look ups, filing, retrieving, processing, scanning/indexing, coordinating in the Health Records purge activity.
  • Ensures that all health records are in compliance with HIPAA and other regulations and guidelines.
  • Assisting with the processing of release of health information and request for health information request/activities for the Clinic and ensure compliance with regulations and guidelines.
  • Attend monthly/quarterly Division HIM meetings where new procedures and policies are presented.
  • Requires strong training and verbal communication skills.
  • Demonstrated ability to perform in direct over-sight of daily HIM operations at the site.
  • Ability to demonstrate application of health records management and maintenance principles in both paper and electronic formats.
  • Provide day-to-day assistance with administrative support to the clinic Personal Health Services Supervisor (PHSS), Public Health Administrative Support Supervisor (PHASS), lead staff physician, and clinic providers.
  • Provide cross divisional standard work support as applicable.

  • Ability to provide a consistently high level of customer service with discretion, patience and professionalism, based on accepted customer service principles and departmental standards.
  • Demonstrated ability to communicate with staff and clients in a pleasant, non-judgmental, respectful and culturally-sensitive manner under varying levels of stress.
  • Strong interpersonal, conflict resolution, and problem solving skills.
  • Ability to work independently, or part of a multi-disciplinary team and maintain confidentiality.
  • Ability to interact with patients around potentially sensitive issues and/or volatile situations.
  • Skilled working in Electronic Practice Management systems that include health records, patient scheduling, and financial transactions.
  • Skilled at organizing, prioritizing, multi-tasking and adapting to changes in workload demands and successfully meeting deadlines under strict time constraints without compromising accuracy.
  • Skilled in the use of office equipment (e.g. multi-line telephone, fax machine(s), scanner, copier, and printer(s).
  • Demonstrated ability to focus on multiple task, as well as apply critical thinking skills
  • Demonstrated ability to perform daily HIM operations at the site.
  • Ability to demonstrate application of health records management and maintenance principles in both paper and electronic formats.
  • Knowledge of various filing systems, including terminal digit and other health information management operations.
  • Demonstrated knowledge and ability to comply with HIPAA, Federal and State regulatory principles and guidelines.
  • Demonstrated knowledge of proper release of patient information including understanding of Federal and State laws and regulations that govern the release of information (ROI). Demonstrated knowledge and ability to apply various records retention guidelines.
  • Demonstrated ability to move up to 25 pounds in order to move boxes and replenish office supplies.
  • This may involve intermittent lifting, standing stooping, bending and reaching during the course of the workday.
