Description

Job Title:  Office clerk/Receptionist

Job Summary:

The Office Clerk/Receptionist will play an essential role in the smooth operation of our office by executing administrative tasks, providing polite and professional assistance to our clients and team members, and generally being a helpful and positive presence in the workplace.

Supervisory Responsibilities:

  • None

Duties/Responsibilities:

  • Greeting and welcoming visitors, clients, and employees with a positive and friendly demeanor
  • Making sure visitors sign in and out when coming in the office.
  • Answering, screening, and directing incoming phone calls in a professional manner
  • Assisting clients with inquiries and providing the necessary information or directing them to the appropriate department
  • Managing the office areas to ensure it is tidy and presentable at all times
  • Receiving and distributing incoming mail and packages and coordinating outgoing mail and courier services
  • Managing appointments and conference room schedules, ensuring they are properly reserved and organized
  • Assisting with office supply inventory, ordering, and maintaining supplies to support the smooth operation of the office
  • Performing basic bookkeeping tasks, such as recording expenses
  • Assisting with administrative tasks, such as organizing employee records, processing paperwork, and coordinating interviews when necessary
  • Supporting departments with clerical tasks, including data entry, filing, and document preparation
  • Assisting in planning and coordinating company events and meetings
  • Adhering to office policies and procedures to ensure a secure and professional environment

Required Skills/Abilities:

  • Proficient written and oral communication skills according to skill requirements
  • Possess strong computer skills, able to read, write, and comprehend written instructional documents
  • Ability to function well in a high-paced and, at times stressful environment
  • Ability to add, subtract, multiply, and divide into all units of measure, using whole numbers, common fractions, and decimals
  • Ability to compute rate, ratio, and percent and to draw and interpret bar graphs
  • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume
  • Proficient Microsoft Office productivity suite

Education and Experience:

  • High school diploma or equivalent
  • At least two years of related experience required

Physical Requirements:

  • Prolonged period of standing, bending, reaching, and working with hands
  • Prolonged periods of sitting at a desk and working on a computer
  • Occasional periods of prolonged exposure to loud noises
  • Ability to lift up to 40 pounds at times
  • Ability to stand, walk, and reach with arms and hands as necessary
  • Ability to hear and see to position and safety requirement levels 
  • Occasional exposure to elements such as heat, cold, noise, dust, dirt, and chemicals

Special Qualifications/Requirements:

  • Must be able to successfully pass background check as required by federal, state or local government
