JOB SUMMARY:
The Resource and Referral (R&R) Program Assistant II position is responsible for maintaining daily functions of the Community Resource Center, Toy Lending Library, and general clerical duties. This position is primarily responsible for providing specific, comprehensive, and accurate technical assistance to consumers searching for child care options. The R&R Program Assistant II performs a wide range of clerical functions in support of Resource and Referral, CCIP and CHST programs.
DUTIES AND RESPONSIBILITIES:
- Respond to requests from consumers seeking local county child care, ensuring the provision of comprehensive, accurate and relative consumer education in a sensitive, confidential and warm manner;
- Assist program staff with the design, printing, collation and assembly of training program materials.
- Assist in organizing documents in response to requests from consumers seeking local county child care.
- Assist in responding to requests from licensed and license exempt local county child care providers seeing assistance with library or resource room materials, licensing, and referral information.
- Ensure that all items needed for training events, outreach efforts, community meetings, provider special events, etc. are arranged and available.
- Assist in preparing newsletters, correspondence, announcements, flyers, Power Point presentations, class materials and other items as requested.
- Perform clerical duties such as filing, answering phone calls, typing, tracking information electronically and scanning.
- Assist in the completion of community resource center orders using: laminator, binding machine, die cuts and other equipment.
- Maintain Community Resource Center and Toy Lending Library clean, orderly, and stocked with materials as needed.
- Collect fees from Community Resource Center consumers - record daily transactions and deposit cash daily in accordance with KCAO Fiscal Policies - balance cash register before the close of the business day.
- Translate during presentations/ trainings using whisper system and written materials from English to Spanish; materials include but are not limited to: newsletters, correspondence, announcements, flyers, Power Point presentations, class materials, reports, etc.;
- Compile data to assist with monthly, quarterly, and annual reports.
- Perform other duties as assigned.
EDUCATION/EXPERIENCE:
- High school diploma (or equivalent)

- Two year clerical experience in an office setting with all of the following:
- Filing of documents both electronically and on paper.
- Computer knowledge to include Windows 7 or higher, Outlook 2007 or higher, Word 2007 of higher, Excel 2007 or higher, PowerPoint 2007 or higher, and Publisher 2007 or higher.
- Office equipment to include copier, printer, fax, scanner.
- Reception responsibilities with a multi-line phone.
OTHER REQUIREMENTS:
- Travel and attend out of area meetings and conferences as required per the funding source(s).
- Work variable hours and days, including those outside regular Monday through Friday, 8 a.m. to 5 p.m. business hours.
- Must be able to meet and maintain KCAO hiring requirements which include:
- Criminal Record Clearance including California DOJ, FBI and Child Abuse Centralized Index (CACI).
- Reliable, insured transportation and valid California Driver License.
- Motor Vehicle Report (MVR) acceptable to KCAO's vehicle insurer.
- Health examination with tuberculin clearance.
- Ability to be contacted outside of regularly scheduled work hours in case of emergency.
