JOB SUMMARY:
Under the supervision of the Director of NEHP, the VITA Program Coordinator / Program Assistant position supports the NEHP Department's various seasonal operations. For an estimated 7 months of the year, the VITA Program Coordinator is responsible to plan, organize and provide supervision and oversight for assigned Volunteer Income Tax Assistance (VITA) project; including, training VITA Specialists, onboarding volunteers, inputting tax data into a specified software program, scheduling tax appointments, community marketing, and filing individual taxes. For the remaining estimated 5 months of the year, the NEHP Program Assistant will provide clerical and general support to the Day Care Homes program and the Food Bank Warehouse operations, as needed.
DUTIES AND RESPONSIBILITIES:
VITA PROGRAM COORDINATOR (Pay Grade 27: Estimated November - May)
- Coordinate and implement tax program.
- Market tax program, recruit volunteers, supervise, and train staff and volunteers.
- Prepare tax returns and educate customers about their tax returns.
- Monitor program activities ensuring activities are running smoothly; respond to questions and complaints.
- Prepare a variety of reports and other documents such as operating, activity and statistical reports, promotional materials; present materials to interested groups.
- Provide input into the development of budgets, including determining staffing and materials; Assists with developing fundraising campaigns and soliciting sponsor and sponsorship packages.
- Ensure that all potential volunteers and interns receive an appropriate and professional response promoting KCAO programs that result in enrollment as a volunteer.
- Train volunteers and VITA Specialists to complete individual tax returns.
- Conduct interviews and assist with completion of volunteer/specialists enrollment processes.
- Train volunteers/specialists according to KCAO established policies/procedures and VITA requirements.
NEHP PROGRAM ASSISTANT (Pay Grade 22: Estimated June - October)
- Assists with monitoring family child care providers to ensure compliance with the United States Department of Agriculture (USDA) Child and Adult Care Food Program (CACFP) and Child Care Regulations.
- Assists with reviewing child care providers menu planning worksheets and menus for compliance with CACFP regulations.
- Verifies meal count sheets with attendance records.
- Assists in preparation of trainings for family child care providers.
- May assist with monitoring CACFP eligibility and license documentation for family child care providers.
- Assist with receiving warehouse deliveries and assists with food bank warehouse inventory.
- May deliver meals to summer food service sites.
- May assist with monitoring summer food service sites for compliance.
- Performs other duties as required.
- Participate in staff meetings and attend other meetings and seminars as directed.
EDUCATION/EXPERIENCE REQUIREMENTS:
- Associate's degree in business management or related field (Preferred) and 6 months experience with tax preparation and 1 year experience with general clerical experience in an office setting.
OR
- High school diploma (or equivalent) and one-year experience with tax preparation and 2 years' experience with general clerical experience in an office setting.
AND
- Strong organizational, time management and communication skills.
- Basic tax knowledge and computer skills for inputting tax return information into tax software.
OTHER REQUIREMENTS:
- Travel and attend out of area meetings and conferences as required per the funding source(s).
- Complete trainings to be certified to complete individual income taxes.
- Work variable hours and days, including those outside regular Monday through Friday, 8 a.m. to 5 p.m. business hours.
- Meet and maintain KCAO employment requirements which include:
- Criminal Record Clearance through the California Department of Justice, FBI and Child Abuse Centralized Index (CACI).
- Reliable, insured transportation and valid California Driver License.
- Motor Vehicle Report (MVR) acceptable to KCAO's vehicle insurer.
- Health examination with tuberculin clearance.
- Ability to be contacted outside of regularly scheduled work hours in case of emergency
