Job Summary
Kingston Yard, located in downtown Cedar Rapids, where innovation, luxury, and the community come together to create the perfect place to live, work, and play. The Kingston Yard Management Association is seeking a highly organized, detail-oriented, and creative individual to join our dynamic team. In this role, you will be responsible for planning, coordinating, and executing events from concept to completion. You will work closely with internal teams, vendors, and clients to ensure every event is successful and meets both logistical and creative goals. You will manage the HOA and budget, adjusting spending to stay within financial goals. The Executive Officer will serve as a member of the Kingston Yard Management Association team and will provide guidance on the long-term strategic plans for the areas of oversight.
The ideal candidate should be a proactive multitasker, with strong communication skills, and the ability to handle multiple projects in a fast-paced environment. Whether it’s a corporate conference, social gathering, or promotional event, you’ll be key in creating memorable experiences for attendees and stakeholders.
Key Responsibilities
- Site Management
o Manage the HOA, oversee the day-to-day management of the park and grounds.
o Financial management – creating and managing budgets, collecting dues, and establishing reserve funds.
o Maintenance and repairs – coordinating with vendors and contractors to maintain and repair common areas.
o Enforcing rules – assist in developing, implementing, and maintaining The Yard policies.
o Administrative tasks – maintaining records, managing contracts and agreements, and handling correspondence.
o Vendor management – finding, verifying, and managing vendors (ex. lawn care, snow removal, trash, general maintenance).
- Event Planning & Coordination
o Assist in developing, implementing, and maintaining the event pricing structure.
o Manage all aspects of event logistics including budgeting, timelines, vendor management, venue selection, and attendee registration.
o Collaborate with clients and stakeholders to define event goals, objectives, and requirements.
o Coordinate the creation of event concepts, themes, and agendas.
o Ability to problem solve and readily adapt to change.
-* Manage contracts and insurance certificates*
o Prepare, review, negotiate and execute space use contracts.
o Ensure all required insurance coverage is in place.
- Sponsorships
o Identify sponsorship opportunities.
o Build and maintain strong relationships with potential and existing sponsors.
-* Logistics Management*
o Oversee event setup, execution, and breakdown, ensuring all elements run smoothly on the day of the event.
o Have knowledge of the stage, tv and technology available to clients.
o Ensure all required equipment, signage and materials are on hand.
- On-site Event Support
o Act as the primary point of contact during events, troubleshooting any issues that arise.
o Provide day-of coordination.

o Assist with the promotion of events through email campaigns, social media, or other marketing channels.
o Ensure all event communication, from marketing to correspondence, is timely and professional.
-* Post-Event Analysis*
o Evaluate the success of events and gather feedback from clients and attendees.
o Create post-event reports and identify areas for improvement.
o Manage invoicing and ensure that event costs align with the budget.
Qualifications
- Experience
o 2 years of experience in event planning, project management, or a related field.
o Experience managing a variety of events, including corporate, social, or non-profit gatherings.

o Exceptional organizational and time-management skills.
o Strong communication skills, both written and verbal.
o Ability to manage multiple projects simultaneously and meet deadlines.
o Proficient in Microsoft Office and social media platforms.
o Strong problem-solving skills and ability to work under pressure.
- Education
o Bachelor’s degree in Event Management, Hospitality, Marketing, or related field (preferred).
- Other Requirements
o Onsite work is required for this position.
o Ability to work flexible hours, including evening and weekends as needed.
o Travel for professional development is possible.
