Overview
We are seeking a highly organized and motivated Office Manager to oversee the day-to-day operations of our office. This individual will be responsible for efficiently inputting and receiving orders, managing client relationships, and ensuring smooth communication between departments. Key Responsibilities:
- Order Management:
- Input customer orders into the system accurately and promptly.
- Monitor and track orders to ensure timely delivery and resolve any issues related to order fulfillment.
- Collaborate with suppliers and vendors to confirm inventory availability and coordinate deliveries.
- Client Relationship Management:
- Serve as the primary point of contact for clients, addressing inquiries and ensuring satisfaction with services and products.
- Build and maintain strong relationships with clients through regular communication and proactive problem-solving.
- Assist clients with order changes, issues, or concerns, ensuring a positive experience.
- Office Administration:
- Manage day-to-day office operations, including office supplies, equipment, and scheduling.
- Coordinate with various departments to ensure that operational workflows run smoothly.
- Maintain and update client records and databases, ensuring all information is accurate and up-to-date.
- Communication:
- Facilitate communication between the sales team, operations, and clients to ensure order details and expectations are clearly understood.
- Prepare reports for management on order status, client feedback, and potential areas for improvement.
- Customer Service:
- Provide excellent customer service, managing any issues or complaints in a professional and timely manner.
- Ensure clients receive follow-up after order completion to ensure satisfaction and gather feedback.
Qualifications:
- Proven experience as an office manager or in a similar administrative role.
- Strong knowledge of order processing systems and customer relationship management (CRM) tools.
- Excellent communication and interpersonal skills, with the ability to build rapport and maintain client relationships.
- Ability to manage multiple tasks and prioritize effectively.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
- Detail-oriented with strong organizational skills.
- Ability to work independently and as part of a team.
- Experience in customer service or sales support is a plus.
Education and Experience:
