Position Summary / Objective:
KMS Solutions, LLC is seeking an outgoing, proactive, and highly motivated individual to serve as a Program Administrator at our location in Middletown, RI. The ideal candidate will provide high-level administrative support and contribute to the efficient operation of the office by coordinating administrative projects and office activities.
Essential functions:

- Assist the Northeast Region contract Program Managers with compiling and editing monthly reports, metrics, contract compliance reports, and contract deliverables.
- Develop tracking tools to coordinate the completion of company and contractual training and certification requirements.
- Provide programmatic support including business development capture planning, meeting minutes and action tracking, brief and document development, and corporate and contractual data calls.
- Develop process recommendations for productivity, efficiency, and improvements.
- Provide secretarial and reception support (greet visitors/maintain visitor log and receive/distribute mail and packages).
- Manage company portal website content, files, and links via SharePoint sites.
- Coordinate conferences and support office meetings, visits, and events.
- Support creation and maintenance of Navy base access and computer system accounts.
- Lead procurement and account reconciliation for office and contract-related purchases.
Required education and experience:
- Associate’s degree with 3 years related experience or High School Diploma with 5 years of relevant work experience.
- Experience and proficiency with Microsoft (MS) Teams, MS SharePoint, MS Word, MS Excel, and MS PowerPoint.
- Experience and proficiency with writing and editing reports and other contract deliverables.
Preferred education and experience:
- Bachelor's level degree with related experience.
- Knowledge/experience in the use of MS Project, MS Visio, and/or Power BI.
- Ability to comprehend and extract details from military contracts.
Competencies:
- Must be detail-oriented, extremely organized, and efficient.
- Ability to learn new skills.
- Must be able to communicate effectively (both orally and in writing).
- Excellent people and customer service skills are essential.
Additional eligibility requirements
Work authorization/security clearance requirements:
Able to obtain and maintain a SECRET security clearance.

Position Type/Expected Hours of Work:
The typical workday is eight hours in length. Some flexibility in hours is allowed, with concurrence from the supervisor. Attendance at prescheduled mandatory meetings is required. Must be available during the core work hours as determined by your contract/location and must account for the required number of hours in a pay period to maintain Full-time status.
Telework:
- This position is not authorized for routine telework.
Travel:
- Travel up to 10% between KMS offices may be required.
